This role is essential for ensuring the smooth operation of the office by providing comprehensive support to an individual or team. The position requires strong multitasking abilities to manage various daily activities such as stakeholder management, vendor coordination, and meticulous record keeping. The ideal candidate will play a pivotal role in maintaining office standards, handling vendor relationships, and overseeing administrative tasks to support business functions effectively.

Key Responsibilities

- Oversee the management of the Boulevard 64 office, ensuring all activities run efficiently.
- Drive daily operations to maintain accuracy, governance, and adherence to company Standard Operating Procedures (SOPs).
- Respond promptly and constructively to queries from co-workers, superiors, and clients.
- Follow and implement oral and written instructions, policies, and procedures, including handling special projects beyond routine tasks.
- Monitor the condition of office buildings and grounds to ensure compliance with required standards.
- Coordinate with the finance department by providing advance notice of deadlines for utility bills and rental payments, ensuring timely settlements.
- Manage repair and maintenance activities for office infrastructure, furniture, fixtures, and equipment.
- Prepare monthly billing reports and ensure payments are processed on time.
- Liaise with the Head Office to facilitate repair and maintenance of company vehicles.
- Manage pool car requests efficiently.
- Build and maintain strong relationships with approved vendors.
- Meet with vendors to evaluate products and services, negotiate pricing, and address any concerns.
- Assess current vendor management programs and recommend improvements.
- Process work orders, purchase requisitions, and Goods Received Notes (GRNs).
- Supervise the operation of security cameras and related equipment to ensure smooth functioning.

Required Qualifications

- Proven experience in fleet management.
- Ability to maintain a professional and welcoming environment in the customer walk-in area by coordinating with building staff.
- Strong customer service skills with a focus on resolving queries and complaints at first contact.
- Familiarity with security protocols.
- Prior experience managing courier services.
- Bachelor’s degree, preferably in Business Administration.
- 3 to 5 years of relevant field experience.
