The Assistant Manager – Operations plays a critical role in supporting the smooth running and continuous improvement of the organization’s administration, facilities, Health, Safety & Environment (HSE) functions, contracts, and support services across multiple sites. This position requires a hands-on approach to operational execution combined with a strong focus on reporting accuracy and data discipline. The successful candidate will ensure day-to-day operations are transparent, auditable, and aligned with organizational goals. This role demands a well-rounded operations professional capable of managing fleet, facilities, and administrative services while promoting structured reporting, process discipline, and a proactive safety culture.

Key Responsibilities

- Support the Operations department in planning, coordinating, and executing daily activities related to administration, facilities, fleet management, and support services across all sites.
- Ensure the accuracy, timeliness, and integrity of operational data that feeds into the organization’s central reporting system, maintaining complete and reconciled records for every function.
- Prepare and present regular operational reports, key performance indicators (KPIs), and trend analyses to management, translating complex data into clear, actionable insights.
- Oversee fleet coordination, facility maintenance, inventory management, recurring expenses, and vendor/contract activities, maintaining comprehensive records and audit trails.
- Assist the HSE function in compliance with the approved HSE policy and relevant regulations.
- Support the development and implementation of operational Standard Operating Procedures (SOPs), workflows, and authority/approval matrices, ensuring alignment with operational reporting.
- Identify and support initiatives for process improvement and automation within operational and HSE functions.
- Ensure all contract approvals and administrative processes comply with organizational policies, governance standards, and internal audit requirements.
- Facilitate coordination among departments, sites, and vendors to maintain smooth, cost-effective, and compliant operations.
- Monitor operational performance against targets, proactively flag exceptions and risks, and propose practical, operations-focused solutions.

Required Qualifications

- Strong understanding of administrative, facilities, HSE, and support-service operations across multiple sites.
- Excellent reporting, data discipline, and analytical skills, with the ability to convert operational data into meaningful management insights.
- Proficiency in MS Excel for operational reporting.
- Experience in process mapping, SOP development, and process improvement.
- Strong stakeholder management, coordination, and cross-functional collaboration skills.
- Effective planning, organizing, and delivery-tracking abilities across multiple concurrent workstreams.
- High attention to detail, integrity, and ownership of accurate, auditable records.
- Ability to work independently, prioritize tasks effectively, and drive projects to completion with minimal supervision.
- Familiarity with reporting tools such as Power BI is preferred.

Preferred Qualifications and Experience

- Minimum of 7 years’ experience in operations or administration, including at least 3 years in a supervisory or assistant manager role.
- Ideally, 10 years of experience managing multi-site operations with a proven track record of delivering structured operational reporting.
- Bachelor’s degree is required; a Master’s degree in Business Administration, Public Administration, Management, or a related field is preferred.
- Additional certifications in HSE (such as NEBOSH or IOSH) and experience with business intelligence/reporting tools are advantageous.
