Assistant Manager - Operations

The Operations Manager will oversee the daily management and smooth functioning of The Hive facilities in Islamabad. This role requires a hands-on leader who can efficiently coordinate staffing, vendor relations, maintenance, and budgeting to ensure operational excellence. The ideal candidate will be responsible for implementing policies, maintaining safety standards, and driving continuous improvements in facility management and customer experience.

Key Responsibilities

Lead and manage all operational activities at The Hive facilities, ensuring seamless day-to-day performance. Oversee staffing, scheduling, and work allocation to optimize productivity and maintain operational efficiency. Develop, implement, and enforce standard operating procedures (SOPs) and organizational policies.

Manage vendor relationships by negotiating contracts and ensuring compliance with service agreements. Coordinate with external service providers to guarantee timely and quality delivery of facility-related services. Oversee generator maintenance and servicing to ensure an uninterrupted power supply, including managing fuel logistics such as scheduling refueling and monitoring fuel levels during outages.

Maintain accurate staff attendance and overtime records to support payroll processing and compliance with labor regulations. Implement attendance monitoring systems and resolve any discrepancies promptly. Monitor inventory levels for operational supplies and equipment, conduct regular audits to maintain accuracy, and prepare monthly demand forecasts to ensure timely replenishment.

Prepare and manage the operational budget for the city, focusing on cost control and resource optimization. Monitor expenses closely and implement cost-saving initiatives without compromising service quality. Lead, mentor, and motivate the operations team, conducting regular performance reviews and fostering professional development.

Collaborate with design and management teams to provide insights on product design and customer experience enhancements. Assist in planning and executing facility expansions or new location developments. Oversee maintenance, repair, and upkeep of facilities to meet safety standards and customer expectations, coordinating with facility managers and external contractors for structural or technical upgrades.

Ensure all operational activities comply with local regulations, safety standards, and organizational protocols. Perform routine and preventive maintenance of air conditioning systems, including inspection, cleaning, troubleshooting, and repair to maintain optimal performance and energy efficiency. Implement health and safety guidelines and conduct regular audits to maintain compliance.

Prepare and present operational reports to senior management, highlighting performance metrics and areas for improvement. Act as the primary liaison between city operations and corporate headquarters to ensure consistent communication and alignment of goals.

Required Qualifications

Bachelor’s degree in operations management or a related field. Proven experience in management, operations, and leadership roles. Strong understanding of general finance and budgeting principles, including profit and loss, balance sheet, and cash flow management. Experience managing facilities of at least 15,000 square feet.
