The HVAC Assistant Manager – Procurement plays a critical role in overseeing the procurement process for HVAC equipment, spare parts, and materials essential for both projects and maintenance activities. This position involves managing supplier relationships, negotiating costs, planning purchases, and ensuring the timely delivery of high-quality HVAC materials while adhering to budget constraints. The role requires close coordination with various teams to meet operational needs and maintain efficient inventory levels.
Key Responsibilities
- Manage procurement of HVAC equipment and materials including chillers, AHUs, FCUs, VRF/VRV systems, compressors, motors, copper pipes, ducts, valves, filters, and refrigerants.
- Prepare and review Requests for Quotations (RFQs) and technical specifications to ensure clarity and accuracy.
- Evaluate supplier quotations and select vendors based on price competitiveness, quality standards, delivery timelines, and compliance with requirements.
- Negotiate pricing, payment terms, and delivery schedules to optimize cost efficiency and supplier performance.
- Issue and manage purchase orders (POs) while maintaining accurate procurement documentation and contracts.
- Collaborate with maintenance, engineering, and project teams to understand material needs and align procurement activities accordingly.
- Monitor supplier performance, maintain strong vendor relationships, and address any supply chain issues promptly.
- Ensure timely delivery of materials to prevent operational delays and support uninterrupted project execution.
- Maintain an organized supplier database and procurement records for audit and reporting purposes.
- Monitor inventory levels of HVAC spare parts and coordinate with the stores department to manage stock effectively.
- Identify cost-saving opportunities through alternative sourcing and supplier negotiations.
Required Qualifications
- Bachelor’s degree or Diploma in Mechanical Engineering, Supply Chain Management, or Business Administration.
- Procurement or supply chain certification is considered an advantage.
- 5 to 8 years of procurement experience, preferably within the HVAC or MEP industry.
- At least 2 years of experience in procurement supervision or team leadership roles.
- Proven experience with HVAC spare parts, equipment sourcing, and vendor management.

- Excellent vendor negotiation and supplier management capabilities.
- Thorough understanding of procurement procedures and contract management.
- Ability to analyze quotations and technical specifications effectively.

- Proficiency in ERP systems and advanced MS Excel skills.
Preferred Knowledge
- Familiarity with leading HVAC brands such as Daikin, Carrier, Trane, York, and LG is highly desirable.
