We are looking for a highly motivated and detail-oriented professional to join our team as an Assistant to the Director of Sales. In this role, you will provide essential support to sales operations by coordinating activities, monitoring progress, and ensuring smooth communication across departments. Your responsibilities will include maintaining task trackers, preparing reports and presentations, organizing meetings, and following up on pending assignments. The ideal candidate will be proactive, possess excellent communication skills, and thrive in a collaborative work environment.
Key Responsibilities:
- Coordinate daily sales operations with Regional Sales Managers, Area Sales Managers, and sales teams to ensure alignment and efficiency.
- Compile and deliver daily, weekly, and monthly sales reports to the Director of Sales.
- Monitor sales targets, assigned tasks, and pending activities to track progress and identify bottlenecks.
- Collaborate with Finance, Supply Chain, Marketing, and Distribution teams to resolve operational issues promptly.
- Maintain daily task trackers for assignments delegated by the Director of Sales.
- Follow up with department heads and sales personnel on pending assignments and approaching deadlines.
- Prepare minutes of meetings, presentations, Excel reports, and briefing documents to support decision-making.
- Highlight delayed assignments, operational challenges, and urgent issues to management.
- Manage emails, phone calls, and official correspondence on behalf of the Director.
- Arrange management and sales review meetings, ensuring all logistics and documentation are in place.
- Coordinate with distributors, business partners, and external stakeholders to maintain strong relationships.
- Maintain records related to travel expenses, reimbursements, administrative tasks, and departmental documentation.
- Assist in coordinating quotations, invoices, payment follow-ups, and monitoring the departmental budget.
Required Qualifications:
- Educational background: CAF, CA Inter, or CA Finalist.
- Experience: Fresh candidates or those with 1-2 years of relevant experience are encouraged to apply.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook is essential.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent written and verbal communication skills.
- Ability to prepare professional reports and presentations with attention to detail.
- Strong follow-up skills and discretion in handling sensitive information.
Preferred Qualifications and Additional Information:
- Familiarity with sales reporting tools and ERP systems is preferred.
