Key Responsibilities
The Associate will report to the Senior Manager and support the Research Office in managing its operational and research administration activities. This includes providing administrative assistance, programme coordination, data management, grants system support, stakeholder liaison, meeting organization, and reporting. The role also involves leveraging artificial intelligence and digital tools to improve productivity and data quality within the office.
Specific duties include supporting daily administrative functions, assisting with data validation, entry, cleaning, and uploading across relevant platforms. The Associate will provide logistical support for meetings, seminars, and workshops, coordinating with departments such as NFSD, Procurement, Finance, and HR to ensure seamless event execution. Preparing meeting materials, maintaining records, documenting minutes, and following up on action items are essential tasks.
Tracking programme activities, deliverables, and timelines to provide timely updates is also required. The Associate will develop expertise in grants management systems and reporting tools to extract and analyze data for reporting purposes. Exploring and applying AI and digital solutions to enhance office efficiency, while adhering to AKU policies, is a key responsibility.
Maintaining accurate documentation and databases to support programme management and institutional knowledge is critical. The Associate will offer general administrative support for various Research Office initiatives and perform other duties as assigned by the Manager or designee.
Required Qualifications
Candidates should hold a Bachelor’s degree in Administration or a related field from a recognized institution. They must have 1 to 3 years of relevant experience in administration, programme coordination, or research administration. Excellent command of English, with strong writing and editing skills and meticulous attention to detail, is essential.
Proficiency in Microsoft Office applications, especially Outlook, Excel, Word, and Power BI, is required. Strong interpersonal and organizational skills, with the ability to collaborate effectively with diverse teams and stakeholders, are important. The candidate should be capable of managing multiple priorities, meeting deadlines, and working independently.
Attention to detail in maintaining accurate records, databases, and documentation is crucial. Willingness and ability to learn and work with grants management systems, reporting tools, digital platforms, and online portals are necessary. An interest in exploring artificial intelligence and digital tools to enhance productivity and data quality is highly desirable.
