The role involves supporting the Manager (Hostel) in the smooth running of daily hostel operations. The incumbent is expected to be present on duty within the hostel premises around the clock to ensure continuous supervision and assistance. This position requires maintaining and updating all relevant registers and filing records, managing the issuance of physical locks and keys, and fulfilling the day-to-day requirements of hostel occupants in accordance with established Standard Operating Procedures (SOPs). The individual will also facilitate the accommodation process for newly allotted students, handle the receipt and handover of students, and manage incoming mails, letters, and parcels. Additionally, the role includes maintaining records of paid mess bills and supervising sanitary workers to ensure cleanliness and hygiene standards are met throughout the hostel.
Key Responsibilities:
- Assist the Manager (Hostel) in routine operational tasks and remain on duty 24/7 within the hostel.
- Maintain and update all registers and filing records accurately.
- Fulfill daily requirements of hostel occupants as per SOP guidelines.
- Keep detailed records of physical locks and keys issued to occupants.
- Facilitate the accommodation process for newly allotted students.
- Receive and hand over students, and manage incoming mails, letters, and parcels.
- Record and maintain paid challan mess bills.
- Assign and supervise sanitary workers in their daily cleaning and maintenance tasks.
- Ensure cleanliness and proper functioning of all electrical devices within the hostel.
- Monitor and regulate the lighting system in accordance with hostel policies.
- Conduct surveillance of CCTV cameras to maintain security.
- Act as custodian for sweeping materials, sanitary supplies, stationery items, and the first aid box.
- Monitor and follow up on maintenance work execution to ensure timely completion.
- Accompany critical medical cases to the designated medical center.
- Ensure optimal utilization of available resources within the hostel.
- Perform any other duties assigned by the Manager (Hostel), Assistant Director Hostels, or Deputy Director Hostels.
Required Qualifications:
- Essential: FA/FSc or equivalent qualification from an HEC-recognized university or board.
- Experience: 1 to 2 years of relevant work experience in a similar role.
Preferred Qualifications and Experience:
- Desirable: BA/BSc degree.
- Experience: 3 to 4 years in a related field is preferred.
Candidates must submit scanned copies of all academic and professional documents. The last education certificate or degree must be attested or verified by the Higher Education Commission (HEC). Applicants with a third division in their academic record or a weak academic profile may be deemed ineligible. Current employees of the institution with less than one year of service or without a No Objection Certificate (NOC) from their Head of Institution will not be considered. Candidates who are still pursuing the required degree or are medically unfit will also be disqualified. Government employees or members of the armed forces must provide an NOC from their respective departments.
