The Communications & Outreach Officer plays a vital role in managing communication, coordination, and outreach activities related to various projects. This position requires strong organizational and project management skills to ensure the smooth execution of tasks and timely delivery of project outcomes. The officer will engage with internal teams, external partners, and stakeholders to maintain clear communication, support events, and document progress effectively.
Key Responsibilities
- Coordinate and monitor projects from planning stages through to completion, ensuring all deliverables meet deadlines.
- Develop detailed activity plans, timelines, task trackers, and follow-up schedules to maintain project momentum.
- Liaise with internal departments, campus teams, vendors, partners, and external stakeholders to facilitate collaboration.
- Identify any delays or operational challenges and escalate issues promptly to management.
- Support project meetings, briefings, events, campaigns, and field activities by preparing agendas, minutes, and action points.
- Draft professional communications including emails, notices, proposals, reports, presentations, and other project-related documents.
- Maintain consistent and professional communication channels between management, project teams, campuses, and external parties.
- Build and nurture relationships with schools, institutions, community representatives, partners, and other stakeholders through calls, emails, meetings, visits, and events.
- Assist in partnership development, collaborations, campaigns, and institutional initiatives to enhance project impact.
- Keep an updated database of contacts, partners, prospects, and outreach activities for effective stakeholder management.
- Organize and maintain project documentation, correspondence, approvals, activity reports, and deliverables.
- Prepare weekly and monthly progress reports, track KPIs, milestones, pending tasks, and project outcomes for management review.
- Support the planning and execution of workshops, seminars, awareness campaigns, meetings, exhibitions, and institutional events, including logistics, invitations, participant records, and post-event reporting.
- Coordinate with marketing and creative teams to develop project-related content for social media, websites, newsletters, and promotional materials.
- Ensure all external communications uphold the organization’s professional image.
Required Qualifications
- Bachelor’s degree in Business Administration, Communications, Public Relations, Management, Education, Social Sciences, or a related field.
- 1 to 3 years of experience in project coordination, communications, outreach, administration, public relations, or a similar role.
- Excellent written and verbal communication skills.
- Strong abilities in coordination, follow-up, and stakeholder management.
- Proficiency in MS Office or Google Workspace, including Word, Excel/Sheets, PowerPoint/Slides, and email communication; familiarity with AI tools is an advantage.
- Demonstrated skills in documentation, reporting, and presentation preparation.
- Ability to manage multiple projects and meet deadlines efficiently.
- Professional demeanor with strong interpersonal skills and confidence in engaging with diverse stakeholders.
- Willingness to travel within the city for project meetings, visits, and events as required.
