This role involves managing visa application processes with accuracy and efficiency while providing excellent customer service. The candidate will be responsible for handling applicant queries, processing documents, managing biometric enrollment, and ensuring compliance with all relevant policies and procedures. The position requires close coordination with internal teams and external stakeholders to maintain smooth operations, uphold security standards, and meet service level agreements. The individual will also contribute to continuous improvement initiatives, support sales of value-added services, and help maintain high levels of customer and mission satisfaction.

Key Responsibilities

- Scrutinize and accurately collect visa application documents, ensuring error-free processing.
- Respond to customer and applicant queries via telephone, email, or in person with professionalism.
- Manage cash and bank transactions as assigned, maintaining transparency and accuracy.
- Record and maintain application data with zero errors, adhering strictly to data purging policies and conducting random checks to protect Personally Identifiable Information (PII).
- Stay updated on visa regulations and fees through ongoing training and guidance from VAC Managers.
- Perform fundamental checks during visa processing and conduct biometric enrollment in compliance with Mission standards.
- Manage applicant flow efficiently, especially during peak periods, to ensure smooth operations.
- Oversee the administration and logistics of passport delivery to consulates, applicants, and logistics partners following established processes.
- Ensure strict adherence to Service Level Agreements (SLAs) and the organization’s Information Security Policy.
- Follow all standard operating procedures without deviation to maintain process integrity.
- Support the team and management in promoting and selling Value Added Services by effectively communicating options to applicants.
- Complete all processes within mandated Turnaround Times (TAT) and monitor internal errors to avoid penalties.
- Continuously improve customer and mission satisfaction by enhancing procedures and innovating productivity and cost-efficiency methods.
- Contribute ideas and best practices to foster a culture of innovation.
- Participate in training sessions and process monitoring activities to support internal certifications.
- Assist in managing physical and data security at the Application Centre, ensuring effective controls to prevent breaches.
- Support continuous improvement initiatives alongside Deputy and Operations Managers.
- Promote responsible use of natural and company resources.
- Adhere to and advocate for the organization’s Environment, Health, and Safety policies and guidelines.

Required Qualifications

- Minimum education: High School Diploma or equivalent with at least 12 years of formal education.
- Preferred education: Graduate degree or global equivalent is advantageous.
- Experience: 1 to 2 years in Travel & Tourism or the Service Industry is preferred.
- Proficiency in MS Office applications and good typing speed.
- Strong customer orientation with the ability to handle queries and complaints calmly and effectively.
- Adaptability and presence of mind in a fast-paced, customer-facing environment.
- Ability to innovate and improve procedures to enhance productivity and cost-effectiveness.

Preferred Qualifications and Additional Requirements

- Fluency in reading, writing, and speaking the local language and English is essential.
- Knowledge of an additional international language is considered a plus.
- Behavioral competencies such as entrepreneurship, teamwork, diversity sensitivity, communication, and delivering results are highly valued.
- Functional competency in VAC Operations Management is beneficial.
