The Data Entry Operator – Billing position in the paint industry is responsible for preparing accurate invoices and entering sales data to support seamless sales and dispatch operations. This role focuses on maintaining up-to-date and error-free billing records, ensuring that all transactions related to paint products are documented precisely. The operator will work closely with sales and warehouse teams to facilitate order processing and maintain detailed records for pricing, discounts, taxes, and product traceability.
Key Responsibilities
Prepare and enter customer invoices for paint products with accuracy and attention to detail. Record daily sales orders, dealer orders, and dispatch information in a systematic manner. Maintain billing records using Microsoft Excel or specialized billing software, ensuring data integrity. Verify pricing, discounts, and tax calculations, including GST, to guarantee correctness. Generate delivery challans and sales invoices as required by the business process. Coordinate effectively with sales and warehouse teams to support order fulfillment and dispatch activities. Manage product-wise price lists and dealer discount structures, updating them as necessary. Accurately record color codes, SKUs, and batch numbers on invoices to ensure traceability of paint products. Track and reconcile dispatched quantities against billed quantities to prevent discrepancies and maintain accurate inventory records.
Required Qualifications
Candidates should have completed at least an Intermediate education, with preference given to those holding a Bachelor’s degree, particularly in Commerce (B.Com). Proficiency in Microsoft Excel is essential, including the ability to use formulas and manage spreadsheets efficiently. Familiarity with billing and invoicing software applications is required to handle daily tasks effectively. A good typing speed, ideally between 40 to 50 words per minute, is necessary for timely data entry. Basic accounting knowledge is important to manage pricing, discounts, and tax details accurately. Strong attention to detail is critical, especially for ensuring pricing accuracy and compliance with tax regulations.
Preferred Qualifications and Benefits
Possession of a computer diploma is considered an advantage and will enhance the candidate’s ability to perform the role efficiently. Candidates with 1 to 2 years of experience in billing or data entry roles will be preferred, as prior experience contributes to quicker adaptation and accuracy. This is a full-time position with working hours from 8:00 AM to 6:00 PM. The job location is near PSE Law College, Saggya Bypass, Lahore, and requires the candidate to work on-site.
