Key Responsibilities
- High-Volume Call Management: Professionally handle multi-line calls with empathy, addressing inquiries about services, hours, fees, policies, and parking.
- Clinical Triage: Assess urgent dental issues such as pain, infection, or broken restorations, and escalate emergency calls to clinical staff or on-call dentists following established protocols.
- Message Routing: Escalate complex patient concerns or workflow disruptions to the Front Office Supervisor and accurately document all interactions in the practice management system.
- Chart Management: Create and update electronic dental charts, ensuring precise procedure sequencing and attaching necessary documents (e.g., x-rays, referrals, outside records) while maintaining strict HIPAA compliance.
- Pre-Appointment Readiness: Confirm completion of all required documents and forms before visits and provide patients with clear preparation instructions.
- Benefits Verification: Collect preliminary dental and medical insurance information by phone, demonstrating understanding of PPO and DHMO plans, dual coverage rules, frequency limitations, and waiting periods.
Required Qualifications
- Experience & Voice: Proven experience in a high-volume dental or medical front-office environment is essential. Candidates must be able to work onsite at the Edge Campus.
- Technical Proficiency: Strong knowledge of dental practice management systems such as Dentrix Enterprise, CloudStack, or Open Dental, along with communication tools like Slack and Microsoft Teams.
- Core Knowledge: Comprehensive understanding of dental terminology, CDT codes, procedure durations, and dental insurance fundamentals including Explanation of Benefits (EOBs), copays, and maximums.
- Soft Skills: Exceptional active listening, empathy, and emotional intelligence to manage sensitive interactions. Ability to maintain composure under sustained call volume, demonstrate meticulous attention to detail, and exercise sound judgment during clinical triage.
- Compliance: Strict adherence to HIPAA regulations, organizational privacy policies, and discretion in handling confidential patient data.
