The District Office Coordinator plays a vital role in ensuring the efficient daily operations of the AMF District/Sub-Office. This position involves managing office functions, coordinating staff activities, supporting the delivery of UQG and other AMF programs, addressing operational needs, and maintaining effective communication with the Head Office. The coordinator ensures that the office environment is organized and functional while facilitating smooth program execution within the district.

Key Responsibilities

Office Operations:
Ensure the District Office opens punctually and remains clean, organized, and fully operational. Oversee daily office functions including facilities management, equipment upkeep, maintenance, supply inventory, and other operational necessities. Proactively identify and resolve routine issues independently, escalating complex matters to the Head Office when required.

Staff and Program Coordination:
Supervise and coordinate the daily tasks of District Office staff, ensuring clear communication of responsibilities, schedules, and operational requirements. Monitor attendance, task completion, and overall staff performance, reporting significant concerns to the appropriate authority. Collaborate with teachers, volunteers, and support teams to guarantee the smooth delivery of UQG courses and other AMF programs. Ensure all necessary resources and arrangements are in place to support district-level program activities effectively.

Administrative and Financial Support:
Manage approved office expenses, staff reimbursements, bills, and related documentation within the scope of authority. Maintain accurate records including attendance, inventory, operational data, and other essential documentation. Ensure proper use, maintenance, and accountability of office equipment, supplies, and organizational resources.

Reporting and Head Office Coordination:
Prepare and submit operational reports, records, and relevant information to the Head Office within established deadlines. Act as the primary liaison between the District Office and Head Office for operational needs, resource allocation, issue resolution, and follow-up. Coordinate with relevant Head Office departments to facilitate timely handling of administrative and operational matters. Implement AMF policies, procedures, professional standards, and approved operational guidelines at the District Office. Identify operational gaps and recommend practical improvements to enhance office efficiency and program delivery. Perform additional duties as assigned by authorized AMF management.

Required Qualifications

A minimum of a Bachelor’s degree (14 years of education) is required. Candidates should have preferably 3 to 5 years of relevant experience in administration, operations, education, or a related field. Experience in managing or coordinating a team is advantageous. Strong ability to coordinate day-to-day office operations and administrative tasks is essential. Candidates must demonstrate clear and professional communication skills with Head Office, teachers, staff, and other stakeholders. A solid understanding of office expenses, reimbursements, billing processes, and supporting documentation is necessary. Accuracy in maintaining records, data, inventory, and administrative documentation is critical. Responsible handling of organizational resources and confidential information is expected. Proficiency in Microsoft Office or Microsoft 365 applications is required.

Preferred Qualifications and Benefits
