E-Commerce Operations Executive

Dynamic Solutions, based in New Garden Town near Barkat Market, Lahore, is looking for a motivated and detail-oriented E-Commerce Operations Executive to join their team on a full-time basis. This role involves managing daily e-commerce activities such as handling customer enquiries, processing orders, coordinating dispatches, tracking shipments, managing inventory, and preparing operational reports. The successful candidate will ensure smooth order fulfillment, maintain accurate inventory records, provide excellent customer service, and work closely with internal teams and courier partners. The position requires on-site presence with working hours from 12:00 PM to 9:00 PM.

Key Responsibilities

Customer Service and Sales Conversion:
Handle customer enquiries received through multiple channels including WhatsApp, phone calls, website chat, and social media. Provide clear and accurate information about product availability, pricing, specifications, sizes, colors, payment options, and delivery timelines. Follow up with potential customers to convert enquiries into confirmed orders while maintaining detailed records of all interactions and sales conversions.

Order Processing and Fulfilment:
Verify order details such as product availability, quantities, delivery addresses, and payment status. Collaborate with warehouse staff to ensure accurate picking, packing, labeling, and dispatch of orders. Monitor pending orders and proactively resolve any delays or discrepancies during processing.

Courier and Delivery Management:
Arrange courier bookings and ensure timely dispatch of parcels. Track shipments until delivery or return, and liaise with courier partners to address any issues related to delays, lost, or undelivered shipments. Maintain accurate records of dispatches, tracking information, deliveries, and returns.

Inventory Management and Reconciliation:
Maintain comprehensive records of stock movements including stock-in, stock-out, sales, and returns. Reconcile physical stock with ERP systems, inventory software, spreadsheets, and e-commerce platform data. Identify discrepancies, shortages, damaged items, and products requiring replenishment. Prepare regular inventory reports for management review.

Reporting and Coordination:
Prepare daily, weekly, and monthly operational reports covering orders, cancellations, dispatches, deliveries, returns, and customer feedback. Coordinate with warehouse, procurement, accounts, sales, marketing, and logistics teams to enhance e-commerce workflows and improve operational efficiency.

Required Qualifications

A Bachelor’s degree in Business Administration, Commerce, Supply Chain, or a related field is required. Equivalent practical experience will also be considered. Candidates should have prior experience in e-commerce operations, customer service, sales coordination, logistics, order management, or inventory management.

Strong verbal and written communication skills are essential, along with excellent customer handling, follow-up, and sales conversion abilities. Proficiency in MS Excel, Google Sheets, ERP/CRM systems, and e-commerce platforms is necessary. A solid understanding of courier booking, shipment tracking, returns, and delivery processes is required. The candidate must demonstrate strong organizational skills, attention to detail, time management, and problem-solving capabilities, with the ability to manage multiple tasks while maintaining accurate records.
