E-Commerce Operations Executive

Dynamic Solutions is seeking a motivated and detail-oriented E-Commerce Operations Executive to oversee daily e-commerce activities. This role involves managing customer enquiries, processing orders, coordinating dispatch, tracking shipments, handling inventory, and preparing operational reports. The ideal candidate will ensure smooth order fulfillment, maintain accurate inventory records, provide exceptional customer service, and collaborate effectively with internal teams and courier partners. This full-time position is based in New Garden Town, near Barkat Market, Lahore, with working hours from 12:00 PM to 9:00 PM.

Key Responsibilities

Customer Service and Sales Conversion:
Manage customer enquiries received through various channels including WhatsApp, phone, website chat, and social media. Provide detailed and accurate information regarding product availability, pricing, specifications, sizes, colors, payment options, and delivery timelines. Follow up with potential customers to convert enquiries into confirmed orders and maintain thorough records of all customer interactions and sales conversions.

Order Processing and Fulfilment:
Verify order details such as product availability, quantities, delivery addresses, and payment information. Coordinate with warehouse staff to ensure accurate picking, packing, labelling, and dispatch of orders. Monitor pending orders and promptly resolve any processing delays or discrepancies.

Courier and Delivery Management:
Arrange courier bookings and ensure timely dispatch of parcels. Track shipments until delivery or return and liaise with courier partners to address any delayed, lost, or undelivered shipments. Maintain precise records of dispatch, tracking, delivery, and returns.

Inventory Management and Reconciliation:
Maintain comprehensive records of stock-in, stock-out, sales, returns, and inventory movements. Reconcile physical stock with ERP systems, inventory software, spreadsheets, and e-commerce platform data. Identify stock discrepancies, shortages, damaged items, and products requiring replenishment. Prepare regular inventory reports for management review.

Reporting and Coordination:
Prepare daily, weekly, and monthly operational reports. Keep accurate records of orders, cancellations, dispatches, deliveries, returns, and customer feedback. Collaborate closely with warehouse, procurement, accounts, sales, marketing, and logistics teams to support continuous improvement in e-commerce workflows and operational efficiency.

Required Qualifications

A bachelor’s degree in Business Administration, Commerce, Supply Chain, or a related field is preferred, though equivalent practical experience will also be considered. Candidates should have prior experience in e-commerce operations, customer service, sales coordination, logistics, order management, or inventory management. Strong verbal and written communication skills are essential.

Preferred Skills and Competencies

Candidates must demonstrate excellent customer handling, follow-up, and sales conversion abilities. Proficiency in MS Excel, Google Sheets, ERP/CRM systems, and e-commerce platforms is required. A solid understanding of courier booking, shipment tracking, returns, and delivery processes is important. Strong organizational skills, attention to detail, time management, and problem-solving capabilities are critical to success in this role. The ability to multitask and maintain accurate records is also necessary.
