An established client of Pavago is seeking a highly organized and experienced Executive Assistant to provide comprehensive support to a senior executive. This full-time remote role involves managing communications, scheduling, task coordination, sales support, accounting assistance, and social media management. The position requires a proactive and dependable individual who can work independently with minimal direction, anticipate needs, prioritize effectively, and ensure that critical tasks and communications are handled efficiently during U.S. business hours.
Key Responsibilities
Inbox & Communications Management: Manage the executive’s email and messaging channels, triage incoming communications by urgency, draft professional responses, and maintain clear communication with internal and external contacts. Track important conversations and ensure timely follow-ups while protecting the executive from unnecessary distractions.
Calendar & Appointment Coordination: Oversee the executive’s calendar, schedule meetings and appointments, resolve conflicts proactively, confirm engagements, and prepare the executive with relevant information ahead of commitments. Adjust schedules as priorities evolve.
Task & Project Tracking: Convert high-level plans into actionable tasks, monitor progress across multiple projects, follow up with stakeholders, and ensure deadlines and deliverables are met. Maintain visibility of ongoing workstreams and keep the executive informed of any blockers.
Sales Coordination Support: Track leads, maintain prospect and client records, update CRM systems, follow up on sales activities, coordinate meetings with prospects, and support sales-related administrative duties to ensure timely follow-up on opportunities.
Accounting Assistance: Support day-to-day accounting tasks including expense tracking, invoice management, bookkeeping coordination, and organizing financial documentation. Handle sensitive financial information with discretion.
Social Media Management: Manage the executive’s social media presence by scheduling posts, monitoring engagement, maintaining a consistent professional voice, organizing content calendars, and coordinating content review and approval.
Required Qualifications
- Minimum of 5 years’ experience in an Executive Assistant, Operations, or Chief-of-Staff-adjacent role supporting senior leadership.
- Proven ability to manage high-volume email and messaging efficiently with sound judgment.
- Strong written communication skills in English.
- Experience managing complex calendars and executive priorities.
- Familiarity with sales coordination, CRM tools, and pipeline tracking.
- Hands-on experience with basic accounting tasks such as expense management, invoicing, and bookkeeping support.
- Demonstrated experience managing social media accounts.
- Excellent organizational, time-management, and follow-up skills.
- Strong attention to detail and professional judgment.
- Ability to handle multiple priorities independently while maintaining confidentiality.
- Availability during U.S. business hours.

This role offers direct partnership with a senior executive and broad ownership across executive operations, including communications, sales, accounting, and social media. It provides a high level of autonomy and responsibility within a fully remote working environment.
