LDP Logistics is seeking a proactive and detail-oriented Executive Assistant to provide comprehensive support to the CEO. This role involves managing the CEO’s schedule, correspondence, and travel arrangements while coordinating with internal departments and external stakeholders. The ideal candidate will be an excellent communicator, comfortable working night shifts in a fast-paced environment, and capable of anticipating the CEO’s needs. The position requires handling multiple priorities independently and maintaining a high level of professionalism and discretion when managing confidential matters.
Key Responsibilities:
- Manage the CEO’s calendar by proactively planning schedules and appointments, coordinating with relevant parties to prevent conflicts.
- Screen and handle incoming calls, emails, and correspondence on behalf of the CEO, responding or redirecting as necessary.
- Draft, proofread, and format letters, memos, presentations, and reports for the CEO’s review.
- Organize meeting agendas, record accurate minutes, and ensure timely follow-up on decisions and action items.
- Arrange all travel logistics including flights, accommodation, transportation, and visa processing to ensure seamless travel experiences.
- Prepare and reconcile expense reports and reimbursement claims for the CEO.
- Serve as a liaison between the CEO’s office and other departments, ensuring prompt resolution of pending matters.
- Maintain organized, confidential filing systems for documents, contracts, and records.
- Handle sensitive information with utmost discretion and professionalism.
- Coordinate logistics for meetings, events, and visits hosted by the CEO’s office.
- Assist with special projects, research, and other tasks as assigned by the CEO.
- Welcome and manage visitors to the CEO’s office professionally.
Required Qualifications & Skills:
- Bachelor’s degree in Business Administration or a related field.
- 2 to 4 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management, preferably in a corporate setting.
- Excellent written and verbal communication skills in English.
- Strong organizational, time-management, and multitasking capabilities.
- High level of discretion, integrity, and sound judgment when handling confidential information.
- Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and general office communication tools.
- Professional demeanor with strong interpersonal skills and confidence in interacting with senior stakeholders.
- Ability to work independently, take initiative, and maintain composure under pressure.
- Flexibility to extend working hours as needed based on the CEO’s schedule and business demands.
