Key Responsibilities
- Manage senior leadership calendars, schedule meetings, and organize travel arrangements to ensure smooth daily operations.
- Prepare, track, and reconcile expense reports with accuracy and attention to detail.
- Draft, format, and proofread correspondence, presentations, and reports to support executive communication needs.
- Maintain organized records and documentation, ensuring easy retrieval and confidentiality.
- Handle incoming calls and messages, facilitating effective internal and external communication and timely follow-up on tasks.
- Liaise with internal teams and external stakeholders to coordinate activities and support office administration.
- Uphold professionalism and discretion in managing sensitive information and interactions.
Required Qualifications
- Proven experience in executive administrative assistance, including calendar management, meeting coordination, and prioritizing tasks effectively.
- Skilled in administrative duties such as document preparation, filing, office coordination, and record management.
- Competent in managing expense reports, including tracking, reconciliation, and basic financial documentation.
- Excellent written and verbal communication skills, with the ability to engage professionally with diverse stakeholders.
- Proficiency in office productivity software, including word processing, spreadsheets, email, and presentation tools.
- Strong organizational skills, meticulous attention to detail, and the ability to manage multiple deadlines in a fast-paced environment.
- Demonstrated integrity and discretion when handling confidential information.
- Bachelor’s degree in Business Administration, Management, or a related field, or equivalent practical experience.
- Prior experience in a similar executive support or office administration role is essential.
