GST International is seeking a dedicated Executive Assistant to provide remote support to our CEO, who is based in Saudi Arabia. This role is physically located in our Gujranwala office and involves close coordination with the CEO through phone, voice notes, WhatsApp, and email across multiple time zones. The Executive Assistant will be responsible for managing the CEO’s schedule, communications, and follow-ups, ensuring that all requests and tasks are completed efficiently and without delay. This position requires a proactive individual who can exercise strong independent judgment and discretion, turning brief verbal instructions into well-organized and timely actions without the need for constant supervision.
Key Responsibilities
- Manage the CEO’s calendar, meetings, and calls across Pakistan, Saudi Arabia, and UAE time zones.
- Receive instructions via voice notes, WhatsApp, or calls and convert them into clear, tracked action items.
- Draft, proofread, and send professional correspondence such as emails, letters, and messages on behalf of the CEO.
- Coordinate with department heads and managers to follow up on pending items and deadlines.
- Prepare summaries, reports, and briefing notes ahead of meetings or calls.
- Track outstanding tasks proactively and follow up without waiting for reminders.
- Handle sensitive and confidential information with the utmost discretion.
- Coordinate travel arrangements, documentation, and logistics as required.
- Maintain organized records of correspondence, decisions, and follow-ups.
- Serve as a point of contact between the CEO and internal teams during his absence or travel.
Required Qualifications
- Strong written and spoken English skills, with the ability to draft professional communications regularly.
- Excellent organizational skills and the ability to manage multiple ongoing tasks without letting details slip through.
- Comfortable working with an executive who communicates informally and quickly, often via voice notes and short instructions, and capable of translating this into structured, reliable follow-through.
- High level of discretion and trustworthiness, as the role involves handling confidential business and personal matters.
- Flexibility to be responsive outside of typical 9-to-5 hours when necessary, due to the cross-time-zone nature of the role.
- Familiarity with WhatsApp, email, and basic office software such as MS Office or Google Workspace.
Preferred Qualifications and Additional Information
- Prior experience as an Executive Assistant, Personal Assistant, or in a similar coordination or administrative role is preferred but not mandatory for the right candidate.
- This role is not a traditional administrative position where you wait for instructions; proactive tracking and follow-up are essential.
- The position does not involve physically managing the CEO’s desk or greeting visitors, as the CEO is based remotely in Saudi Arabia.
- Occasional availability beyond standard office hours is expected to accommodate time zone differences.

Salary and Work Location
The salary is negotiable and open to discussion for candidates with proven executive support experience. This is a full-time, on-site position based in Gujranwala, Pakistan. The role requires in-person attendance at the Gujranwala office while providing remote support to the CEO.
