The Executive Assistant will provide comprehensive administrative and executive support to senior leadership in a full-time, on-site role based in Lahore. This position requires managing calendars, scheduling meetings, organizing travel arrangements, and preparing expense reports. The Executive Assistant will handle correspondence, draft and review documents, maintain records, and facilitate effective communication between executives, internal teams, and external stakeholders. Additionally, the role involves coordinating meetings and events, preparing agendas and minutes, and following up on action items to support timely decision-making. Managing confidential information, prioritizing tasks, and proactively improving administrative processes and executive workflows are key aspects of this position.
Key Responsibilities
- Manage senior leadership calendars, schedule meetings, and coordinate travel arrangements efficiently.
- Prepare, review, and maintain correspondence, documents, and records with accuracy and confidentiality.
- Organize meetings and events, including preparing agendas, taking minutes, and tracking follow-up actions.
- Prepare and manage detailed expense reports ensuring accuracy and timely submission.
- Facilitate clear and professional communication between executives, internal teams, and external stakeholders.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Prioritize multiple tasks in a fast-paced environment while maintaining strong organizational skills.
- Identify opportunities to streamline administrative processes and enhance executive workflows.
Required Qualifications
- Proven experience in Executive Administrative Assistance and Executive Support, including calendar management and meeting coordination.
- Strong administrative skills such as document preparation, record keeping, and office organization.
- Expertise in preparing and managing expense reports with attention to detail.
- Excellent written and verbal communication skills, capable of professional stakeholder coordination and correspondence.
- Ability to prioritize and manage multiple tasks effectively under tight deadlines.
- Proficiency in office productivity tools, including word processing, spreadsheets, presentation software, email, and calendar applications.
- Demonstrated professionalism, discretion, and reliability in supporting senior leaders.
- Bachelor’s degree in Business Administration, Management, or a related field, or equivalent practical experience.
Preferred Qualifications and Benefits
- Previous experience as an Executive Assistant or in a similar administrative role is preferred.
