We are looking for a proactive and detail-oriented Export Documentation Officer to join our team. This role requires efficient shipment planning, timely communication with carriers and shippers, and accurate handling of all shipping documentation. The successful candidate will demonstrate strong organizational skills, excellent verbal and written communication, and familiarity with relevant shipping software to ensure smooth export operations.
Key Responsibilities
- Follow up with the customer service team to receive shipment plans in advance and ensure carrier deadlines are met.
- Maintain strong communication with shippers/exporters to secure all necessary shipment details well ahead of time to fulfill carrier requirements.
- Submit shipping instructions to carriers and co-loaders via online carrier web portals or manually through email.
- Track and follow up on receiving Master Bill of Lading (MBL) drafts from shipping carriers and co-loaders.
- Send pre-alerts and manifests to multiple overseas agents within the specified time frame without exceptions.
- Verify House Bill of Lading (HBL) and Master Bill of Lading (MBL) details to ensure accuracy and consistency as requested by the shipper.
- Monitor Verified Gross Mass (VGM) filings on the carrier’s online portal.
- Coordinate with courier services for inland (e.g., TCS) and overseas shipments (e.g., DHL) to obtain invoices and arrange timely payments.
- Track document dispatches for local customers and overseas agents, providing email notifications accordingly.
- Collaborate with team members on invoicing, applicable charges, and the creation and updating of HBLs as per shipper requests, following management directions.
- Monitor outstanding payments and follow up as guided by management.
- Ensure timely processing of files from vessel to vessel.
- Operate Climax software efficiently as part of daily tasks.
- Maintain excellent verbal and written communication, especially via email.
- Perform any additional duties assigned by management on an ad hoc basis.
Required Qualifications
- Previous experience in a similar export documentation or logistics role is preferred.
- Strong organizational and time management skills to handle multiple tasks efficiently.
- Ability to work effectively under pressure and meet tight deadlines.
- Proficiency in Climax software is preferred.
- Bachelor’s degree or equivalent qualification.
