Export Documentation Executive

We are looking for a proactive and detail-oriented Export Documentation Officer to join our team. This role requires efficient shipment planning, timely communication with carriers and shippers, and meticulous handling of all shipping documentation. The ideal candidate will have strong organizational skills, excellent communication abilities, and proficiency in relevant shipping software to ensure smooth export operations.

Key Responsibilities

- Collaborate closely with the customer service team to receive advance shipment plans and ensure carrier deadlines are met.
- Follow up with shippers and exporters to collect all necessary details required to fulfill carrier requirements.
- Submit shipping instructions to carriers and co-loaders through online portals or email.
- Request Master Bill of Lading (MBL) drafts from shipping carriers and co-loaders.
- Send pre-alerts and manifests to overseas agents within specified time frames.
- Verify and ensure the accuracy of House Bill of Lading (HBL) and Master Bill of Lading (MBL) details according to shipper requirements.
- Track Verified Gross Mass (VGM) filings on the carrier’s online portal.
- Coordinate with courier services such as TCS for inland shipments and DHL for overseas shipments to obtain invoices and ensure timely payments.
- Monitor the dispatch of documents for local customers and overseas agents, providing email notifications as needed.
- Work with team members regarding invoicing, applicable charges, and the creation or updating of HBLs as requested by shippers.
- Follow up on outstanding payments as directed by management.
- Ensure timely processing of vessel-to-vessel files.
- Operate Climax software proficiently to manage export documentation.
- Maintain excellent verbal and written communication throughout all processes.

Required Qualifications

- Previous experience in a similar export documentation or logistics role is preferred.
- Strong organizational and time management skills to handle multiple tasks efficiently.
- Ability to work effectively under pressure and meet tight deadlines.
- Proficiency in Climax software is preferred.
- Bachelor’s degree from a recognized institution.

- The position is full-time with a monthly salary starting from Rs60,000.
- The role requires in-person attendance at the work location.
