The role involves processing daily transactions efficiently while ensuring strict adherence to internal procedures and operational controls to manage risk effectively. The incumbent will be responsible for timely responses to customer requests and maintaining high standards of accuracy and compliance. This position requires managing team operations to maximize productivity and deliver quality service across a range of banking products, ultimately supporting the bank’s profitability goals.
Key Responsibilities
Manage daily team operations to ensure efficient, error-free processing of Bank Guarantees, IATA, and Advising transactions in compliance with departmental Operating Instructions (DOIs), Service Level Agreements (SLAs), Group sanctions policies, vessel check policies, and applicable local and international regulations. Maintain accurate transaction documentation and update comments for pending transactions in the tracking system.
Execute all tasks assigned by Team Leaders, meeting set productivity targets related to efficiency, accuracy, and turnaround times within the area of responsibility. Ensure full compliance with company and Group rules, regulations, policies, guidelines, and code of conduct. Report suspicious transactions and red-flag alerts promptly to Anti-Money Laundering (AML) approvers.
Act as Key Custodian for fire-resistant cabinets or vaults, managing keys according to policy and ensuring proper handover procedures are followed. Motivate and monitor team morale to achieve optimal productivity and service standards. Provide training to team members to enhance their knowledge and ability to handle customer queries effectively.
Update the Import DOI with any changes in processes, systems, or policies throughout the year. Maintain operational control to ensure adherence to bank policies and guidelines by all team members. Handle complex transactions escalated for risk control and collaborate with the Unit Head to update internal operating procedures in line with regulatory changes.
Ensure all team members are knowledgeable about Group policies, especially those related to trade transactions involving sanctioned countries. Address audit findings promptly, ensuring timely closure and preventing recurrence of issues. Comply with Group Money Laundering Prevention policies, conducting reviews of complex transactions for potential AML risks and escalating as necessary.
Mitigate operational risks by identifying and reporting AML and suspicious transactions, attending AML training programs, and following prescribed checklists and procedures. Responsible for ITRS/C-ITRS reporting, Export Overdue reporting (V20/V21), and preparing responses to regulatory show cause notices. Respond to regulator queries on an ad hoc basis.
Possess comprehensive knowledge of the export cycle, from financial institution initiation and bill lodgement to payment settlement. Submit weekly withholding tax and other export regulatory returns as required.
Required Qualifications
Proven experience in banking operations, particularly in trade services, with a strong understanding of Bank Guarantees, IATA, and advising processes. Demonstrated ability to manage teams, ensure compliance with internal and external regulations, and handle complex transactions with a focus on risk management and AML controls. Strong knowledge of regulatory reporting requirements and experience liaising with regulatory bodies.
Excellent organizational and communication skills, with the ability to train and motivate staff. Familiarity with audit processes and the ability to implement corrective actions effectively. Proficient in maintaining operational controls and documentation in line with bank policies.
