We are looking for a detail-oriented and experienced Finance & Accounting Manager to oversee the daily financial operations of a growing US-based business. This role requires full ownership of the accounting books using Xero, managing a disciplined month-end close process, and providing leadership with clear and timely insights into cash flow, profitability, and financial risks. The ideal candidate is self-driven, communicates proactively, and serves as the primary in-house finance resource for the organization.
Key Responsibilities
Accounting & Bookkeeping:
Maintain the general ledger and chart of accounts within Xero, ensuring all transactions are accurately and promptly coded. Perform daily and weekly reconciliations of bank accounts, credit cards, and payment processors using Xero’s bank feeds and rules. Manage accounts payable, including bill entry, approvals, vendor records, and payment runs. Oversee accounts receivable processes such as invoicing, payment application, collections follow-up, and aging analysis. Maintain integrations and connected applications in Xero, including tools like Dext, Hubdoc, Gusto, Stripe, and inventory or job-costing software.
Month-End Close & Reporting:
Take full ownership of the month-end close checklist, covering accruals, prepaids, depreciation, and balance sheet reconciliations. Deliver monthly financial statements—Profit & Loss, Balance Sheet, and Cash Flow—within the agreed close timeline. Prepare management reports and KPI dashboards featuring variance analysis and clear, plain-English commentary. Develop and maintain budgets, forecasts, and a rolling 13-week cash flow forecast.
Financial Oversight & Controls:
Monitor cash position, burn rate, and margins, proactively identifying risks and opportunities for leadership. Establish and enforce internal controls, approval workflows, and user permissions within Xero. Review expenses for accuracy, policy compliance, and potential cost savings. Track and support compliance activities such as sales tax filings and 1099 preparation. Act as the primary liaison with external CPA and tax firms, preparing year-end and audit packages. Document finance processes and standard operating procedures to ensure consistency, scalability, and audit readiness.
Required Qualifications
Bachelor’s degree in Accounting, Finance, or a related field is essential. A minimum of five years of accounting and finance experience is required, including at least three years of hands-on work with Xero. Proven ability to independently manage a full month-end close and produce financial statements is necessary. Strong knowledge of US GAAP, accrual accounting, and US small-business compliance requirements such as sales tax and 1099 filings is expected. Advanced skills in Excel and Google Sheets, including lookups, pivot tables, and financial modeling, are required. Excellent written and verbal communication skills in English are essential, with the ability to explain financial information clearly to non-finance stakeholders. High integrity and discretion in handling confidential financial data are mandatory.
Preferred Qualifications and Benefits
Candidates with Xero Advisor Certification or professional accounting credentials such as CPA, ACCA, CA, or CMA (completed or in progress) will be preferred. Experience supporting US small and medium-sized businesses (10–200 employees) remotely or in an outsourced capacity is advantageous. Familiarity with Xero add-ons like Dext, Hubdoc, Fathom, Float, Spotlight Reporting, ApprovalMax, and Gusto is highly desirable. Exposure to QuickBooks Online, especially for migrations or multi-entity environments, is a plus. Experience with job costing, inventory management, or multi-entity consolidations will be beneficial.
