Role Description
This is a full-time, remote Founder's Associate / Executive Assistant role supporting the leadership across multiple existing and future ventures.
This is not a conventional Executive Assistant role limited to calendar management, emails, and administrative responsibilities. The ideal candidate will play an active role in managing priorities, coordinating teams, taking ownership of projects, and ensuring that initiatives move forward effectively.
The role requires someone who is exceptionally organised, proactive, resourceful, and comfortable working in a fast-paced entrepreneurial environment where priorities can evolve frequently.
Key Responsibilities
- Executive Support: Manage calendars, meetings, inboxes, communications, travel arrangements, and day-to-day priorities.
- Multi-Venture Coordination: Work across multiple businesses and ventures, maintaining visibility over priorities, deadlines, responsibilities, and progress.
- Project Ownership: Take ownership of projects and initiatives from initial planning through coordination, execution, and follow-up.
- New Venture Development: Play an active role in researching, validating, planning, launching, and operationalising new business ideas and ventures.
- Team Coordination: Coordinate with team members, follow up on deliverables, track commitments, and ensure that agreed tasks are completed on time.
- Research and Strategic Support: Conduct research into industries, competitors, business opportunities, tools, and potential partnerships, presenting findings and actionable recommendations.
- Operations and Processes: Help establish and maintain operational systems, SOPs, project trackers, and reporting mechanisms across different ventures.
- Communications and Documentation: Draft professional communications, prepare presentations and proposals, document meetings, and maintain important business records.
- Business Development Support: Assist with outreach, partnerships, lead management, CRM updates, and follow-ups with potential clients and collaborators.
- Financial and Administrative Coordination: Support basic financial tracking, invoicing, expense monitoring, and administrative requirements.
- Problem-Solving and Improvement: Proactively identify inefficiencies, anticipate challenges, and recommend or implement improvements.
Qualifications
- Exceptional organisational and time-management skills, with the ability to manage multiple projects and priorities simultaneously.
- Strong ownership mentality and the ability to take initiative, solve problems, and follow through independently.
- Excellent written and verbal English communication skills.
- Strong research and analytical abilities, with the ability to translate information into practical recommendations.
- Confidence in coordinating with teams, stakeholders, clients, and external partners.
- Proficiency with productivity and project-management tools such as Google Workspace, Microsoft 365, ClickUp, Asana, Notion, or similar platforms.
- Comfortable using AI tools and automation to improve productivity and streamline workflows.
- Ability to work independently in a remote environment with minimal supervision.
- High levels of discretion, professionalism, reliability, and integrity.
- Adaptability and willingness to take on responsibilities beyond a traditional job description.
- Previous experience in executive assistance, founder's associate, operations, project coordination, or a startup environment is beneficial.
- A bachelor's degree or equivalent practical experience is preferred but not mandatory.
Who We Are Looking For
We are looking for someone who enjoys building things, not just managing them.
Someone who can take an idea, turn it into an actionable plan, coordinate the people involved, and ensure that it gets done.
Someone who anticipates what needs attention, challenges priorities when necessary, and brings solutions rather than simply highlighting problems.
Most importantly, someone who is excited about working across multiple businesses, contributing to new ventures from the ground up, and growing into a role with increasing responsibility and ownership.
The scope of this role will continue to evolve as existing businesses grow and new ventures are launched.
