ACE Properties, a subsidiary of the ACE Group of Companies, is seeking a friendly and well-organized Front Desk Officer, also known as the First Impression Officer, to serve as the initial point of contact for visitors and callers. This role involves warmly welcoming guests, visitors, and interviewees, addressing their queries, and directing them to the appropriate departments efficiently. The Front Desk Officer will also manage the office’s IP telephony system, handle incoming calls, maintain visitor and courier logs, and provide various administrative and clerical support tasks. Reporting to the Admin Head, this position plays a crucial role in shaping the experience of clients, candidates, and partners from their very first interaction with ACE Properties.
Key Responsibilities
Visitor Reception & Guest Experience: Greet and welcome all visitors professionally, directing them to the correct person or area. Coordinate with departments such as HR, Sales, and Admin regarding arriving visitors and interviewees. Address visitor queries or escalate them to the relevant department when necessary. Maintain an accurate visitor log and issue visitor badges. Employ active listening and problem-solving skills to ensure all visitor concerns are resolved promptly.
Call Handling & Telephony Management: Answer incoming calls and route them appropriately. Provide callers with information about departments, extension numbers, operating hours, and general inquiries. Arrange call-backs as requested and maintain a log of calls placed and received. Set up conference calls across multiple locations and time zones. Escalate call-related issues to ensure customer concerns are fully addressed.
IP System & Technical Coordination: Conduct daily checks to ensure all telephone lines and devices are functioning properly. Report any telephone or internet issues to the Network Support Services (NSS) department promptly. Guide and train staff on routine IP dialing and telephony system usage. Keep the company telephone directory and reference materials up to date to provide accurate information.
Administrative & Clerical Support: Receive, sort, and distribute daily couriers while maintaining a courier log. Manage meeting room reservations and meeting records. Schedule meetings for directors, managers, and staff as requested. Perform typing, proofreading, data entry, and other clerical duties. Assist the monitoring team with CCTV reviews for assigned tasks.
Data Custody & Professional Development: Safeguard all company mobile numbers and related contact data, ensuring confidentiality and security. Continuously improve communication skills, language proficiency, and accent to enhance service quality. Perform any additional duties assigned by management.
Required Qualifications
A Bachelor’s degree or Intermediate qualification in any discipline is preferred. Candidates should have 1–2 years of experience as a Receptionist, Front Desk Officer, or in a similar customer-facing administrative role. Fresh graduates with strong communication skills are also encouraged to apply. Experience with IP telephony, switchboard, or PABX systems is advantageous. Proficiency in MS Office applications, particularly Word, Excel, and Outlook, along with good typing and data entry speed, is essential. Experience in maintaining logs, records, and basic office documentation is required. Previous exposure to real estate, corporate, or hospitality sectors is considered a plus.

Job Details
The position is based onsite at Kharian - Dream City, with working hours from 10:00 AM to 7:00 PM. The role falls under the Administration / Front Office department and reports directly to the Admin Head.
