We are looking for a skilled HR Administration Officer / HR Generalist to oversee HR operations, payroll processing, employee records management, and general HR administration. The ideal candidate will have practical experience handling payroll, strong proficiency in Microsoft Excel, and familiarity with FlowHCM or similar HRIS software. This role requires attention to detail, excellent organizational skills, and the ability to work collaboratively with various departments to ensure smooth HR functions.
Key Responsibilities
- Manage the complete monthly payroll process, including validating attendance, adjusting leaves, applying salary deductions, allowances, increments, arrears, and handling final settlements.
- Collaborate with Finance and other stakeholders to ensure payroll is accurately processed and closed on time.
- Maintain and audit employee records regularly, covering attendance, leave balances, salary changes, promotions, transfers, and other HR-related data.
- Oversee the entire performance appraisal cycle, managing timelines, forms, eligibility, evaluations, documentation, follow-ups, calibration, and communicating outcomes effectively.
- Develop, review, implement, and communicate HR policies, procedures, SOPs, and employee guidelines aligned with organizational needs and labor regulations.
- Ensure consistent application of HR policies across multiple campuses or departments, providing guidance to managers on policy interpretation.
- Administer probation periods, confirmations, probation extensions, performance improvement plans, promotions, transfers, and salary revisions.
- Maintain and update all employee-related documentation, including contracts, appointment letters, transfer and promotion letters, salary revision letters, and warning letters.
- Monitor employee attendance, punctuality, absenteeism, leave utilization, and disciplinary matters, ensuring proper documentation and follow-up actions.
- Support managers and campus leadership in performance management, employee relations, conflict resolution, and other people-related decisions.
- Maintain HR dashboards and reports covering headcount, payroll, attendance, turnover, leave, appraisals, probation, recruitment, and employee movements.
- Ensure all HR records are complete, accurate, confidential, and ready for audits.
- Identify gaps in HR processes and recommend improvements to enhance efficiency, transparency, and employee experience.
- Assist with recruitment, onboarding, induction, employee documentation, and exit/clearance procedures as needed.
- Address employee queries related to salary, attendance, leave, payroll, policies, benefits, performance evaluations, and employment terms.
- Coordinate with relevant parties for EOBI, statutory documentation, bank/payroll requirements, and other compliance matters.
- Prepare periodic HR analytics and management reports to support data-driven decision-making.
- Maintain strict confidentiality regarding employee compensation, performance, disciplinary records, and personal information.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum of 3 years of experience in HR operations and payroll management.
- Strong knowledge of payroll processing and HR administration.
- Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, IF formulas, and reporting capabilities.
- Excellent communication, organizational, and problem-solving skills.
Preferred Qualifications
- Experience with FlowHCM or other HRIS/payroll software is highly desirable.
Work Location
This position is based in Lyari, Karachi, and requires in-person attendance.
