As an Install Coordinator at Motive, you will play a vital role in bridging internal teams and external partners to ensure the efficient execution of hardware installations for our customers. This position is primarily administrative and demands strong organizational skills and meticulous attention to detail. You will coordinate installation assignments, manage essential documentation, and maintain clear communication with all stakeholders to guarantee timely project completion and high-quality outcomes. Working during U.S. business hours is essential to facilitate collaboration across various time zones.

Key Responsibilities

- Pre-Sales Support: Collaborate closely with Sales and Solutions Consultants to understand customer requirements and ensure installation plans align with pre-sales agreements. Assist in preparing installation quotes and timelines, offering input on resource allocation and scheduling feasibility.

- Record Management: Maintain accuracy and completeness of all pre-sales documentation, including vehicle lists. Issue and manage key documents such as statements of work and project plans, providing installation partners with necessary resources for successful execution.

- Installation Coordination: Evaluate the scope of work to select appropriate subcontractors. Act as the primary contact during initial booking, supplying all relevant records and addressing any scoping questions to facilitate job acceptance and completion.

- Client Communication: Participate in customer calls to deliver high-level information regarding installation partner assignments and project plans. Serve as a liaison to keep Sales, Solutions Consultants, and clients well-informed before transitioning responsibilities to the Implementation Project Manager.

- Project Transition: Prepare comprehensive customer information, including key documentation and insights, to ensure a smooth handoff to the Implementation Project Manager for effective project management and successful implementation.

Required Qualifications

- 3 to 5 years of experience in project coordination, logistics, or related administrative roles, preferably within hardware installations, trucking, logistics, or fleet management sectors.

- Exceptional organizational skills with the ability to manage multiple projects simultaneously, prioritize tasks effectively, and maintain detailed schedules.

- Strong written and verbal communication skills in English, capable of conveying information clearly and professionally to both internal and external stakeholders. Experience coordinating across multiple time zones is advantageous.

- Basic technical knowledge of telematics, hardware installation, and software deployment, with the ability to quickly learn and adapt to new technologies.

- Proven problem-solving skills, including anticipating potential installation issues and proactively addressing them under pressure to meet deadlines.

- Familiarity with Salesforce or other CRM platforms for tracking installation progress and managing customer interactions, including generating and interpreting reports.

- A Bachelor’s degree in a related field is preferred; however, equivalent professional experience will also be considered.
