- Offer interview time options through scheduling tools such as Microsoft Outlook, ensuring no calendar conflicts occur.
- Confirm interview details before ending calls, including date, time, joining instructions, and interviewer information, making sure candidates fully understand.
- Send clear, approved interview reminders to candidates to help them easily access their booking information.
- Follow up with candidates after missed interviews to reschedule or adjust bookings as needed, updating calendars accordingly.
- Accurately record call outcomes and bookings, flagging issues like incorrect numbers, duplicates, or candidate withdrawals while maintaining confidentiality.
- Provide recruiters with booked interview details and relevant call notes, escalating any questions beyond your scope to the recruiting team lead.
- Share daily summaries of booking counts and unresolved scheduling matters with the team, clarifying next steps.
- Ensure quality standards are met by verifying accurate bookings, courteous communication, complete notes, and timely follow-ups before passing information onward.

- No prior recruiting experience required; however, experience in phone-based customer service, scheduling, or administrative roles is preferred.
- Calm and friendly phone manner that helps candidates feel comfortable and informed without rushing them.
- Willingness to learn and use applicant tracking, phone, and calendar scheduling tools through guided training.
- Strong attention to detail regarding interview dates, times, candidate names, and call notes to ensure recruiters receive clear and accurate information.
- Ability to follow a structured call outline while actively listening and allowing candidates to ask questions.
- Basic understanding of interview scheduling processes, including reminders, rescheduling, missed interviews, and escalation protocols.
