The Junior HR Generalist will support core HR operations and take ownership of daily workplace administration and vendor coordination in a hybrid role. This position combines HR operations, employee support, workplace management, facilities coordination, and vendor management. The successful candidate will ensure employees receive necessary support and resources, HR processes are executed accurately, the office environment remains functional and well-maintained, and external vendors deliver reliable services. This role is ideal for someone hands-on, detail-oriented, and comfortable balancing people-focused responsibilities with operational tasks, offering growth opportunities across HR and workplace operations in a dynamic organization.

Key Responsibilities

HR Operations & Employee Lifecycle
- Maintain accurate employee records, contracts, HR documentation, and personnel files.
- Support onboarding and offboarding processes, including documentation, orientation, clearances, and exit formalities.
- Manage employee confirmations, internal movements, promotions, and routine lifecycle activities.
- Maintain HR forms, policies, employee handbooks, and internal process documentation.
- Ensure HR records are confidential, organized, and accessible to authorized personnel.

Employee Support & People Processes
- Act as the first point of contact for routine employee queries related to HR policies, attendance, leave, and workplace matters.
- Maintain attendance and leave records, coordinating with managers to resolve discrepancies.
- Support performance review cycles, employee feedback initiatives, engagement activities, and other people programs.
- Assist with internal HR communications and employee-facing initiatives.
- Escalate sensitive or complex employee concerns to senior People team members.
- Identify opportunities to improve employee experience and streamline HR processes.

Workplace & Office Management
- Oversee daily office operations to ensure a safe, organized, and functional workplace.
- Coordinate office maintenance, cleaning, utilities, internet, access, repairs, and other facilities needs.
- Monitor office supplies, pantry inventory, stationery, equipment, and workplace essentials.
- Maintain records of office assets, maintenance requests, and related expenses.
- Manage seating arrangements, meeting room readiness, office access, and workplace logistics.
- Address workplace issues promptly and coordinate with internal teams or service providers.
- Support office events, employee activities, and on-site initiatives.
- Recommend improvements to office processes and employee facilities.

Vendor Management & Procurement Coordination
- Coordinate with vendors providing office supplies, cleaning, maintenance, utilities, security, transportation, and other services.
- Maintain an updated vendor database including contracts, pricing, renewal dates, and payment records.
- Request quotations, compare proposals, and support purchasing decisions based on cost and quality.
- Follow up with vendors to ensure timely service delivery and issue resolution.
- Monitor vendor performance and adherence to agreements.
- Coordinate invoices, purchase requests, delivery confirmations, and payment follow-ups with finance or administration.
- Support vendor onboarding, contract renewals, and performance reviews.
- Identify opportunities to optimize costs and improve service quality.

Administration, Expenses & Documentation
- Maintain organized records of office expenses, invoices, purchase orders, and workplace documentation.
- Support budget tracking for office supplies, facilities, and vendor services.
- Coordinate approvals and documentation for administrative purchases.
- Assist with expense reconciliation and reporting alongside Finance.
- Ensure workplace and vendor documentation is accurate and up to date.

Reporting & Process Improvement
- Prepare periodic updates on HR operations, office expenses, vendor performance, inventory, and outstanding workplace issues.
- Track recurring operational needs, vendor renewals, maintenance schedules, and pending requests.
- Maintain trackers and spreadsheets to improve visibility into workplace activities and costs.
- Recommend improvements to HR administration, office management, procurement, and vendor workflows.
- Collaborate with People, Finance, IT, and other teams to ensure smooth internal operations.

Required Qualifications
- 1–2 years of experience in HR, People Operations, office administration, workplace operations, or related roles.
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
- Basic understanding of HR processes, employee documentation, attendance, leave management, and employee support.
- Experience coordinating office operations, facilities, suppliers, vendors, or administrative services.
- Strong organizational skills and attention to detail.
- Effective written and verbal communication skills.
- Proficiency in Microsoft Office or Google Workspace, especially Excel or Google Sheets.
- Ability to maintain accurate records, manage follow-ups, and multitask efficiently.
- Strong interpersonal and problem-solving abilities.
- Professional handling of confidential employee and business information.
- Proactive, hands-on approach to resolving operational issues and supporting employees.

Preferred Qualifications and Benefits
- Experience managing vendors, service providers, office supplies, or facilities requests.
- Exposure to procurement coordination, invoice processing, expense tracking, or budget monitoring.
- Familiarity with asset inventories and office administration trackers.
- Knowledge of HRIS, attendance management systems, procurement tools, or workplace management software.
