The role involves leading and managing the end-to-end procurement of pharmaceutical promotional materials. The incumbent will ensure timely availability, cost efficiency, quality compliance, and alignment with marketing strategies while adhering to regulatory and company standards. This position plays a critical role in supporting marketing initiatives by guaranteeing the availability of high-quality promotional materials, which directly influence brand visibility, market competitiveness, and revenue growth.
Key Responsibilities
Procurement Management:
Oversee the sourcing and procurement of various promotional materials, including giveaways such as medical gifts and branded items, printed materials like visual aids, brochures, and leaflets, as well as event and activation materials for patient support programs and branding activities. Ensure these materials are available on schedule to support marketing plans and product launches.
Vendor Prequalification and Management:
Identify, evaluate, and onboard vendors for promotional materials. Build and maintain strategic partnerships with reliable suppliers, continuously monitor vendor performance in terms of quality, cost, and delivery timelines. Conduct regular vendor audits and performance reviews to ensure standards are met.
Cost Optimization and Budget Control:
Lead cost-saving initiatives through effective negotiation and strategic sourcing. Optimize procurement spend without compromising on quality. Collaborate closely with finance and marketing teams to manage budgets and ensure financial discipline.
Cross-Functional Coordination:
Work collaboratively with marketing teams to understand demand planning and material specifications. Coordinate with Regulatory, Quality Assurance, and Legal departments to ensure compliance of promotional content and materials. Liaise with Finance for budgeting and payment processes. Align procurement activities with overall business and brand strategies.
Compliance and Quality Assurance:
Ensure all promotional materials comply with pharmaceutical regulatory requirements and uphold ethical procurement practices with full transparency. Maintain strict adherence to company Standard Operating Procedures (SOPs) and audit requirements.
Planning and Forecasting:
Support monthly and quarterly demand forecasting to maintain visibility on procurement needs. Manage inventory control for frequently used promotional items to minimize stockouts and avoid excess inventory.
Process Improvement and Digitalization:
Drive continuous improvement in procurement processes by enhancing efficiency through automation and standardization. Develop and maintain procurement dashboards and key performance indicators (KPIs) to track and improve performance.
Required Qualifications
- Bachelor’s degree in Supply Chain Management or a related field; an MBA is preferred.
- 5 to 8 years of procurement experience within the pharmaceutical sector, with strong expertise in promotional procurement, printing, and event management.
- Proven negotiation skills, commercial acumen, project management, planning capabilities, and effective stakeholder management and communication.
- Strong analytical thinking and problem-solving abilities.
- In-depth knowledge of pharmaceutical compliance standards.
