The Assistant to the Director plays a crucial role in providing high-level administrative and executive support to ensure the smooth operation of the Director’s office. This position involves managing schedules, coordinating meetings, handling confidential correspondence, preparing reports, and facilitating effective communication across departments. The ideal candidate will demonstrate strong organizational abilities, excellent communication skills, and the capacity to multitask efficiently in a fast-paced environment.

Key Responsibilities

- Manage the Director’s daily calendar, including appointments and travel arrangements.
- Coordinate internal and external meetings by preparing agendas and recording minutes.
- Screen phone calls, emails, and visitors on behalf of the Director to prioritize and manage communications.
- Draft, review, and maintain confidential correspondence, reports, presentations, and official documents.
- Follow up with department heads on assigned tasks to ensure timely completion.
- Prepare weekly and monthly management reports, dashboards, and presentations for executive review.
- Facilitate communication between the Director and various departments to support organizational goals.
- Maintain confidential records, contracts, and executive files with discretion.
- Organize business meetings, conferences, and company events to support operational needs.
- Arrange domestic and international travel, including accommodation and detailed itineraries.
- Track action items and ensure timely execution of management decisions.
- Assist in preparing budgets, business proposals, and strategic documents as required.
- Maintain proper documentation and filing systems, both physical and electronic.
- Perform other duties as assigned by the Director.

Required Qualifications

- Proven experience in an executive assistant or administrative support role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to handle confidential information with integrity and professionalism.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent multitasking skills and attention to detail.
- Ability to work independently and collaboratively in a dynamic environment.

Work Location and Compensation

This position is based in person at Raiwind Road, near The University of Lahore. The monthly salary range is Rs60,000 to Rs100,000, commensurate with experience and qualifications.
