Agrico International is seeking a responsible and experienced Operations Executive to independently manage daily commercial and operational activities. The role covers commercial operations, customer order processing, quotations, procurement, inventory coordination, delivery documentation, invoicing, payment follow-ups, business correspondence, and general office administration. While knowledge of FBR Sales Tax and Digital Invoicing is necessary, this is not a pure accounting or taxation role. The ideal candidate will handle the entire commercial workflow from customer enquiry through payment collection, ensuring smooth coordination internally and externally with accuracy and professionalism.
Key Responsibilities
Commercial & Business Operations
- Manage daily commercial and operational activities.
- Handle customer enquiries and coordinate with relevant departments.
- Prepare professional customer quotations and maintain records.
- Receive, record, and track customer Purchase Orders (POs).
- Prepare and process supplier Purchase Orders and procurement documents.
- Coordinate procurement and supplier communications.
- Monitor pending purchases, deliveries, and supplier commitments.
- Oversee product availability, stock allocation, and order fulfillment.
- Prepare Delivery Challans (DCs) and maintain dispatch records.
- Generate sales invoices and related commercial documentation.
- Coordinate FBR Digital Invoicing where applicable.
- Track orders from quotation to payment follow-up.
- Maintain records of quotations, POs, procurement, deliveries, invoices, and payments.
- Follow up with customers and suppliers on pending matters.
Inventory Management
- Monitor inventory levels and stock movement.
- Maintain accurate inward and outward stock records.
- Manage records of spare parts, equipment, and other inventory.
- Coordinate stock receiving and issuance.
- Conduct periodic stock reconciliation.
- Ensure inventory records align with purchase, sales, and delivery documents.
- Identify stock shortages, excesses, and discrepancies.
- Prepare inventory reports for management as needed.
Documentation & Business Communication
- Draft and manage professional emails to customers and suppliers.
- Prepare official letters, quotations, follow-ups, and payment reminders.
- Maintain professional communication with corporate customers and suppliers.
- Organize systematic electronic and physical filing of quotations, POs, DCs, invoices, inventory records, and tax documents.
- Ensure accuracy and completeness of documents before submission.
- Track pending operational matters and follow through to completion.
FBR & Tax Compliance – Supporting Responsibility
- Practical knowledge of FBR Digital Invoicing, Sales Tax/GST documentation, invoice requirements, input/output tax concepts, withholding tax basics, applicable tax rates, and reconciliation of tax invoices.
- Coordinate with accountants or tax consultants for specialized taxation issues.
- This role requires sufficient understanding of FBR compliance but is not primarily a tax accountant position.
Internal Coordination & Administration
- Collaborate with Sales, Accounts, Store, Workshop, and Management for smooth order execution.
- Assist management with daily office and operational needs.
- Maintain operational reports and records including sales, inventory, pending orders, and outstanding payments.
- Ensure timely completion of assigned tasks and handle multiple responsibilities.
- Perform other operational and administrative duties as assigned.
Required Qualifications
- Bachelor’s degree or equivalent professional qualification preferred.
- Strong hands-on experience in commercial/business operations.
- Proficient in preparing quotations, Purchase Orders, Delivery Challans, and invoices.
- Good understanding of inventory and stock management.
- Experience in procurement and supplier coordination.
- Skilled in dealing with corporate customers and order processing.
- Working knowledge of FBR Sales Tax and Digital Invoicing.
- Excellent command of Microsoft Excel and Word.
- Strong professional email writing and documentation skills.
- Highly organized with strong attention to detail and problem-solving ability.
- Ability to prioritize tasks and work independently with minimal supervision.
- Effective communication and coordination skills.
Preferred Qualifications and Candidate Profile
- 3–5 years of relevant operations/commercial experience.
- Experience in trading, automobile, engineering, manufacturing, or industrial sectors.
- Proven track record managing commercial operations rather than purely accounting roles.
- Hands-on experience preparing quotations, POs, DCs, and invoices.
- Familiarity with inventory management and procurement processes.
- Comfortable handling corporate communications professionally.
- Comprehensive understanding of the commercial cycle from enquiry to payment.
- Practical exposure to FBR Sales Tax and Digital Invoicing.
- Ability to independently manage and take ownership of operational responsibilities.
Important Note
This is primarily a Commercial Operations role with FBR, Sales Tax, and Digital Invoicing as supporting responsibilities. Candidates focused mainly on accounting, bookkeeping, audit, or taxation without practical commercial operations experience may not be suitable. Practical operational capability and relevant experience are prioritized over academic background.
