Our client, Recruit AI, is seeking an experienced and dependable Operations Manager to lead the daily operations of Friends of Mayo Hospital Lahore (FOMH). This role is based in Lahore and requires a professional who can ensure the smooth and efficient functioning of all FOMH activities across multiple sites. The Operations Manager will supervise a team of five, including the Site Officer at Mayo Hospital, and will be responsible for maintaining high standards of organization, coordination, and compliance with ethical and regulatory requirements. Reporting directly to the President of FOMH, the successful candidate will collaborate closely with various departments and committees to support the organization’s mission and uphold its integrity.
Key Responsibilities
- Supervise the day-to-day operations of FOMH across multiple locations, ensuring activities align with organizational goals.
- Manage and prioritize the workload of a team of five, including the Site Officer, to meet daily objectives efficiently.
- Maintain official records and correspondence such as request letters, approvals, handover certificates, and communication registers to ensure accurate documentation.
- Oversee contract management by monitoring contractor performance, managing renewal schedules, and escalating issues for timely resolution.
- Develop and maintain strong working relationships with Mayo Hospital, King Edward Medical University, and other partner institutions to support operational success.
- Coordinate all FOMH projects, including scheduling, access management, inspections, handovers, and project documentation to ensure quality and compliance.
- Organize and support meetings by handling logistics for FOMH Board and committee gatherings.
- Manage logistical arrangements for programs, internships, training sessions, donor visits, and events, adhering to approved budgets and reporting expenses accurately.
- Administer registrations and certifications, ensuring timely renewals and compliance with regulatory bodies such as the Pakistan Centre for Philanthropy and Punjab Charity Commission.
- Maintain detailed records related to Zakat and donations, verify documentation completeness, and coordinate approval processes without direct financial authority.
- Implement and monitor safety and security protocols across all sites, promptly addressing incidents and maintaining thorough documentation.
- Represent FOMH professionally in all official interactions, managing visitor and donor engagements to promote the organization’s reputation.
- Evaluate field observations regarding hospital needs, project challenges, and contractor performance, reporting significant issues to senior leadership.
- Prepare and submit comprehensive weekly and monthly reports covering operations, compliance, project progress, and safety matters to senior management.
- Ensure strict adherence to ethical guidelines, confidentiality policies, and conflict of interest rules, maintaining transparency and integrity in all activities.
- Facilitate smooth handovers and operational continuity by managing document control and system access according to organizational protocols.
- Perform additional duties as assigned by the President to support effective management of FOMH operations.
