The Payment Posting Specialist is an essential member of the healthcare revenue cycle team, responsible for the accurate and timely posting of insurance and patient payments, adjustments, and denials to patient accounts. This role involves reconciling all remittances, whether electronic or manual, against expected reimbursements while ensuring compliance with payer contracts, company policies, and regulatory standards. The specialist supports billing, follow-up, and reporting functions, maintaining the integrity of financial records. This position is fully remote and open to candidates located anywhere within the United States.
Key Responsibilities
Post insurance payments, patient payments, adjustments, and write-offs accurately to patient accounts using electronic remittance advice (ERA/835 files), explanation of benefits (EOBs), lockbox files, and patient-pay sources. Reconcile daily deposits, batches, and posted totals with bank and clearinghouse reports to ensure all funds are accounted for and balanced. Identify, research, and resolve unapplied cash, misapplied payments, and posting discrepancies promptly. Accurately post contractual adjustments and denials using correct reason and remark codes (CARC/RARC), and route denied or underpaid claims to the appropriate follow-up team. Process patient refunds, credit balances, and payment transfers in accordance with established policies. Manage electronic remittance exceptions and manual posting queues, escalating unusual trends or recurring payer issues to supervisors. Maintain productivity and accuracy standards while meeting daily and monthly close deadlines. Ensure compliance with HIPAA, payer guidelines, and internal controls, safeguarding protected health information (PHI) at all times. Document posting activities clearly and maintain organized records for audit and reconciliation purposes. Collaborate with billing, cash management, and accounts receivable follow-up teams to support accurate account resolution.
Required Qualifications
1 to 3 years of experience in payment posting, cash posting, or medical billing within a healthcare or revenue cycle environment. Working knowledge of EOBs, ERAs/835 files, CARC/RARC codes, and insurance reimbursement processes. Familiarity with commercial, Medicare, and Medicaid payer remittances. Strong 10-key data entry skills with a high degree of accuracy. Proficiency with practice management or hospital billing systems and Microsoft Excel. Solid understanding of HIPAA regulations and proper handling of PHI.
