We are seeking a detail-oriented US Payroll Specialist to manage and support the end-to-end payroll processing for employees based in the United States. The ideal candidate will have hands-on experience with US payroll operations, including federal and state payroll taxes, payroll deductions, employee earnings, overtime calculations, payroll reconciliation, and compliance with relevant regulations. This role requires accuracy, confidentiality, and the ability to collaborate effectively with HR, Finance, and Accounting teams. Key Responsibilities
- Process bi-weekly and semi-monthly US payroll accurately and within established deadlines.
- Maintain detailed employee payroll records and related documentation.
- Calculate regular hours, overtime, bonuses, commissions, deductions, and other earnings with precision.
- Apply knowledge of US federal, state, and local payroll tax regulations to ensure compliance.
- Manage pre-tax and post-tax deductions, garnishments, benefits, and other payroll adjustments.
- Review payroll reports thoroughly and conduct payroll reconciliations.
- Assist with preparation and management of payroll-related documents such as W-2, W-4, and 1099 forms.
- Maintain accurate employee tax and withholding information.
- Support payroll year-end activities and audits to ensure compliance and accuracy.
- Investigate and resolve payroll discrepancies and respond to employee payroll inquiries promptly.
- Ensure all payroll processing adheres to applicable US payroll laws and company policies.
- Collaborate with HR, Finance, and Accounting departments to address and resolve payroll-related issues efficiently.
Required Qualifications
- Minimum of 2 years of experience in US payroll processing.
- Strong understanding of US federal and state payroll tax regulations.
- Familiarity with FLSA guidelines, overtime rules, exempt/non-exempt employee classifications, and payroll deductions.
- Knowledge of W-2, W-4, and 1099 processes and documentation.
- Proficient in Microsoft Excel, including advanced functions such as VLOOKUP/XLOOKUP, SUMIFS, Pivot Tables, IF formulas, and data reconciliation techniques.
- Experience working with payroll or HRIS systems.
- Exceptional attention to detail and ability to maintain confidentiality.
- Effective written and verbal communication skills in English.
Preferred Qualifications and Benefits
- Experience with payroll platforms such as ADP, Paychex, Gusto, UKG, Workday, QuickBooks Payroll, Rippling, or similar systems.
- Experience managing payroll across multiple US states.
- Familiarity with payroll year-end processing and reporting.
- Payroll certifications such as Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) are advantageous.
