The People Operations & Payroll Coordinator is a vital member of the People & Culture team, responsible for ensuring accurate payroll processing, maintaining data integrity, and supporting efficient HR operations across the organization. This role serves as a key liaison between People Operations, Store Managers, and Finance, ensuring all workforce-related data and documentation are accurately recorded and processed in a timely manner. The ideal candidate will demonstrate strong attention to detail, excellent organizational skills, and the ability to manage time-sensitive workflows within a dynamic, multi-entity business environment.
Key Responsibilities
Payroll & Workforce Data Management
Manage monthly payroll inputs including timesheets, attendance, overtime, and variable pay components. Ensure all payroll data is validated, approved, and documented prior to processing. Maintain strict confidentiality and accuracy throughout all payroll-related activities.
HR Systems & Records Management
Keep employee records current within HRIS and time-attendance systems. Monitor and update leave balances, absenteeism, and holidays. Ensure all employee documentation is complete, accurate, and ready for audits.
Onboarding & Offboarding
Support the full onboarding process, including collection of necessary documents and system setup for new hires. Manage offboarding procedures such as record closure and coordination of final payments. Track probation periods and contract renewals to ensure timely actions.
Compliance & Reporting
Maintain personnel files in accordance with company policies and legal requirements. Assist with audit preparations, compliance checks, and reporting tasks. Provide regular reports on headcount, attendance, and other workforce metrics.
Cross-Function Collaboration
Work closely with Store Managers, Finance, and HR leadership to ensure alignment of operations. Contribute to continuous improvement initiatives within People Operations processes to enhance efficiency and accuracy.
Required Qualifications
- 2 to 4 years of experience in HR Operations, Payroll, or HR Administration
- Proficiency in Excel or Google Sheets, including lookups, reconciliations, and pivot tables
- Experience working with HRIS or time-attendance systems
- Strong organizational and data management skills
- Fluent in written and spoken English
Preferred Qualifications
- Experience in multi-site or multi-entity organizations
- Exposure to retail, hospitality, or FMCG sectors
