The Personal Assistant to the CEO will provide comprehensive support to ensure the smooth and efficient operation of the CEO’s day-to-day activities. This role demands a high level of professionalism, discretion, and confidentiality while managing a wide range of administrative tasks. The successful candidate will be responsible for managing a demanding calendar, coordinating complex travel arrangements, preparing correspondence, and supporting meetings and communications with both internal and external stakeholders.
Key Responsibilities:
- Serve as a primary resource and support for the CEO’s daily requirements.
- Maintain strict confidentiality and exercise discretion when handling sensitive information and interfacing with business contacts.
- Manage an active calendar of appointments, ensuring all scheduling conflicts are resolved efficiently.
- Compose, draft, and prepare various types of correspondence, including acknowledgment letters and personal communications.
- Arrange detailed and complex travel plans and itineraries, including international travel coordination.
- Compile and organize documents required for travel-related meetings.
- Coordinate weekly management meetings, ensuring all logistics and materials are prepared in advance.
- Build and maintain positive, proactive relationships with internal teams and external stakeholders.
Required Qualifications:
- Bachelor’s degree from a recognized institution.
- Relevant work experience in a similar role such as Executive Assistant, Personal Assistant, or Executive Secretary.
- Advanced proficiency in Microsoft Office applications, particularly Word, PowerPoint, and Excel.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Experience in planning and coordinating meetings, conferences, and international travel.
- Familiarity with office technology, including electronic calendars and standard office equipment.
- Excellent verbal and written communication skills to interact professionally at all levels.
