The Procurement Executive will oversee the complete purchasing process for food raw materials and general items. This role focuses on sourcing high-quality ingredients at competitive prices while managing supplier relationships throughout their lifecycle. The executive will work closely with the Quality Control team to ensure ingredient compliance and will be responsible for accurate procurement reporting to the department manager.
Key Responsibilities
- Generate and process all Purchase Orders (POs) for raw materials and general items, ensuring strict adherence to company terms and conditions.
- Obtain competitive quotations from a minimum of three suppliers for every raw material requirement to ensure cost-effectiveness.
- Prepare detailed cost comparison sheets and present commercial evaluations to the Procurement Manager for review and final approval.
- Collect physical samples for any new brand, ingredient, or supplier and coordinate with the Quality Control (QC) team to secure formal approval before placing orders.
- Discuss and finalize technical specifications, packaging requirements, and shelf-life parameters for every new raw material directly with suppliers.
- Review and report new items to the Procurement Manager for approval before setting up and opening accounts in the ERP system.
- Identify and select potential suppliers to build and maintain strong, long-term business partnerships.
- Proactively follow up on all open POs with suppliers and maintain an updated tracking sheet with expected delivery dates.
- Maintain rigorous records of all pending Purchase Requisitions (PRs), including documented reasons for any delays.
- Manage both soft and hard copy archives of all vendor documentation such as quotations, tax exemption certificates, contracts, and service level agreements (SLAs).
- Take ownership of all departmental reporting by preparing periodic status updates and professional presentations for management.
Required Qualifications
- Bachelor’s degree in Supply Chain Management, Business Administration (BBA/MBA), or a related field.
- 2 to 4 years of proven experience as a Procurement Officer or Executive, specifically handling food raw materials, ingredients, or commodities within FMCG, food manufacturing, or bakery industries.
- Proficiency in Microsoft Excel, including advanced functions like Pivot Tables and VLOOKUPs, as well as PowerPoint for reporting and presentations.
- Experience working with ERP systems such as SAP, Oracle, or proprietary inventory software.
- Strong negotiation skills, analytical reasoning, and assertive communication with vendors.
- Excellent verbal and written communication skills are mandatory.
