We are seeking a skilled Procurement Specialist to oversee the end-to-end procurement process, ensuring the timely and cost-effective acquisition of materials and products. This role involves sourcing reliable suppliers, managing vendor relationships, comparing quotations, negotiating terms, and coordinating with Finance and other departments. The ideal candidate will ensure that all purchases meet required quality standards, specifications, pricing, and delivery schedules while adhering to company policies and budgets.
Key Responsibilities
- Source and evaluate suppliers across various categories, including general materials, sports items, sports equipment, crockery, kitchenware, nylon curtains, and related products.
- Obtain, compare, and analyze quotations based on price, quality, specifications, delivery timelines, and payment or credit terms.
- Negotiate commercial terms such as prices, credit arrangements, and delivery schedules with vendors.
- Prepare and process procurement documents, including Purchase Requisitions and Purchase Orders.
- Maintain comprehensive knowledge of product specifications, material types, quality standards, brands, and suitable alternatives.
- Conduct market research to identify new suppliers, products, and competitive pricing trends.
- Collaborate closely with Finance to manage supplier credit terms, invoice processing, payments, outstanding balances, and account reconciliation.
- Coordinate with Stores or Warehouse teams to ensure proper receipt, inspection, and verification of purchased items.
- Keep accurate records of vendors, quotations, purchase orders, deliveries, and procurement history.
- Evaluate supplier performance regularly in terms of quality, pricing, service, and delivery reliability.
- Ensure all procurement activities comply with company policies, approved budgets, and required specifications.
- Develop alternative sourcing options to mitigate procurement risks and maintain uninterrupted availability of materials.
- Support management initiatives aimed at cost savings and efficient procurement planning.
Required Qualifications
- Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, Finance, or a related discipline.
- 2 to 5 years of relevant experience in procurement or purchasing roles.
- Proficiency with ERP or procurement systems and strong skills in Microsoft Office, especially Excel.
- Solid understanding of sourcing strategies, supplier management, purchase order processing, and inventory principles.
- Demonstrated ability to negotiate effectively and communicate clearly with vendors and internal stakeholders.
- Strong organizational, analytical, and multitasking abilities to manage multiple purchases and deadlines.
- Knowledge of credit terms, payment processes, invoicing, and supplier account management.
- Excellent follow-up, coordination, and record-keeping skills.
