The Procurement Officer will oversee the entire procurement process, ensuring timely sourcing, vendor management, quotation analysis, negotiation, purchasing, and delivery follow-up. This role requires close coordination with Finance and other departments to guarantee that materials and products meet quality standards, specifications, pricing requirements, and are available when needed. The position demands a proactive approach to supplier evaluation, market research, and maintaining accurate procurement records to support efficient operations and cost-saving initiatives.
Key Responsibilities
- Source and evaluate reliable suppliers and vendors across various categories of materials and products.
- Obtain and compare quotations considering price, quality, specifications, delivery timelines, and payment or credit terms.
- Negotiate prices, credit terms, delivery schedules, and other commercial conditions with suppliers to secure favorable agreements.
- Prepare and process Purchase Requisitions, Purchase Orders, and other related procurement documentation accurately and timely.
- Maintain comprehensive knowledge of general materials, sports items, sports equipment, crockery, kitchenware, and related products.
- Understand product specifications, material types, sizes, quality standards, brands, and identify suitable alternatives when necessary.
- Conduct market research to discover new suppliers, products, and competitive pricing opportunities.
- Collaborate with Finance to manage supplier credit terms, invoices, payments, outstanding balances, and account reconciliations.
- Coordinate with Stores/Warehouse teams for receiving, inspecting, and verifying purchased items to ensure compliance with specifications.
- Keep detailed records of vendors, quotations, purchase orders, deliveries, and procurement history for transparency and audit purposes.
- Evaluate supplier performance regularly based on quality, pricing, service, and delivery metrics.
- Ensure all procurement activities comply with company policies, approved budgets, and required specifications.
- Develop alternative sources and products to reduce procurement risks and maintain uninterrupted availability.
- Support management in implementing cost-saving measures and efficient procurement planning.
Required Qualifications
- Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, Finance, or a related discipline.
- 2 to 5 years of relevant experience in procurement or purchasing roles.
- Proficiency with ERP or procurement systems and strong skills in Microsoft Office, especially Excel.
- Solid understanding of sourcing, supplier management, purchase orders, and inventory principles.
- Excellent negotiation, communication, organizational, and analytical abilities.
- Capability to manage multiple procurement tasks and deadlines simultaneously.
