Based at the Rawalpindi Head Office, this role focuses on supporting procurement operations within the pharmaceutical sector. The position involves managing documentation, coordinating with branches and vendors, and ensuring optimal procurement practices to maximize benefits from existing discounts and supplier agreements. The candidate will play a key role in data analysis, vendor negotiations, and overseeing procurement-related tasks to maintain smooth supply chain operations.
Key Responsibilities
- Generate letters and certificates for not available (NA) and short supply items for branches.
- Initiate purchase orders (POs) and adjustment minute sheets related to warehouse stocks and invoices.
- Develop comparative data for generics and oncology medicines to leverage maximum benefits from discounts available through approved companies in Military Hospitals (MH), Combined Military Hospitals (CMHs), and Armed Forces Institutes (AFIs).
- Identify low-margin items and report findings to the Manager, Senior Manager, and Director of Procurement to assist in sourcing decisions.
- Identify potential companies and vendors to be added to the negotiation list based on demand and consumption patterns.
- Work towards improving margins with companies already listed in MedAsk’s procurement portfolio, especially those offering medicines on third-party (TP) basis or with reduced margins.
- Maintain accurate documentation and record-keeping of all necessary data, including letters, replies, and reports.
- Draft Memorandums of Understanding (MOUs), agreements, and various procurement-related reports.
- Prepare comparative reports covering alternatives, generics, and brand medicines.
- Manage quotations, authority letters, and official meeting notes with pharmaceutical companies and authorities from CMHs, AFIs, and MHs.
- Handle mailing and correspondence with pharmaceutical companies and distributors, including follow-ups on quotations, margins, and distribution.
- Supervise procurement Data Entry Operators (DEOs) to ensure task completion and accuracy.
- Analyze finalized POs received from operations branches, making corrections related to rates, margins, and bonuses as needed.
- Collect and report daily and weekly PO status updates, promptly communicating supply issues to the Assistant Manager, Senior Manager, and Director of Procurement.
- Review undelivered item reports, analyze reasons for non-delivery, and report outlets failing to submit daily undelivered item reports.
- Perform additional tasks assigned by management, such as working on slow-moving or inactive outlets, report writing, and drafting emails.
Required Qualifications
- Pharm-D or equivalent degree.
- 2 to 3 years of relevant experience in pharmaceutical procurement or a related field.
