The Real Estate Project Coordinator role offers an opportunity to provide comprehensive coordination and executive-level support for a US-based real estate operation while working remotely from Pakistan during US business hours. This position uniquely combines transaction and project management responsibilities—such as tracking listings, closings, timelines, and communication with vendors and lenders—with direct executive support including calendar management, scheduling, and administrative oversight for US principals. Candidates must have authentic US real estate industry experience, as this role demands fluency in real estate terminology, transaction workflows, and the everyday tools used in the US real estate market, beyond general administrative or virtual assistant skills.

Key Responsibilities

- Coordinate real estate transactions and projects from start to finish, monitoring listings, offers, contracts, inspection and closing timelines, and outstanding action items to ensure smooth progress.

- Communicate directly with lenders, title companies, escrow officers, agents, and other stakeholders to maintain momentum on deals and proactively identify any delays.

- Maintain and update CRM and transaction management systems such as MLS-adjacent platforms, Dotloop, SkySlope, Follow Up Boss, or similar tools with accurate and current information.

- Manage executive calendars, scheduling, and travel arrangements for US-based principals, balancing competing priorities with sound judgment.

- Prepare, organize, and review documentation, reports, and client-facing materials to ensure accuracy and a polished, professional presentation.

- Draft and manage correspondence with clients, agents, and partners on behalf of leadership, maintaining a professional tone suitable for US-based audiences.

- Track the status of multiple concurrent projects, listings, deals, or properties, and proactively highlight risks or bottlenecks to leadership.

- Support daily administrative operations including expense tracking, vendor coordination, and general office and operational support.

- Maintain strict confidentiality and discretion due to direct access to executive schedules, client information, and sensitive deal data.

Required Qualifications

- Three to four years of professional experience within the US real estate industry, including brokerage support, transaction coordination, property management, or real estate investment operations.

- Strong familiarity with US real estate transaction workflows and terminology such as listings, escrow, closings, contingencies, and contracts, gained through direct industry experience.

- Excellent written and verbal communication skills in English, with the ability to professionally represent the business to US-based clients and partners.

- Exceptional organizational skills with proven ability to manage multiple projects, deadlines, and stakeholders simultaneously without overlooking details.

- Proficiency with common real estate and productivity tools, including CRM and transaction management platforms, Google Workspace or Microsoft Office, and scheduling tools.

- Availability to work during US business hours (EST, CST, or PST as required).

- A bachelor’s degree is preferred, though equivalent practical experience in real estate operations will be considered.

Preferred Qualifications

- Direct experience supporting a real estate broker, investor, or principal in an executive assistant or right-hand capacity.

- Familiarity with platforms such as Dotloop, SkySlope, Follow Up Boss, kvCORE, Propstream, or similar real estate technology solutions.

- Experience with light bookkeeping, expense tracking, or coordination with finance or accounting functions.

- Prior experience working remotely while supporting a US-based team.
