This role involves providing exceptional front-line customer service at a visa application center, ensuring a smooth and efficient experience for all applicants. The successful candidate will manage applicant flow, assist with inquiries, and maintain a professional and welcoming environment. They will be responsible for coordinating between various service counters, monitoring queues, and supporting compliance with established procedures. Attention to detail, confidentiality, and the ability to handle multiple tasks in a fast-paced setting are essential.

Key Responsibilities

- Welcome customers upon arrival, guide them through the application process, and issue token numbers to manage queues effectively.
- Monitor and control the flow of applicants by directing them to appropriate counters and ensuring orderly queue management.
- Respond to walk-in inquiries by providing clear and accurate information on visa procedures, required documents, and next steps.
- Coordinate applicant movement between biometric counters, submission areas, and waiting zones to maintain operational efficiency.
- Greet visitors courteously, creating a positive and professional first impression.
- Maintain cleanliness and organization of reception and waiting areas to uphold a welcoming atmosphere.
- Ensure all applicants receive services in accordance with Standard Operating Procedures (SOPs) and Visa Application Services (VAS) guidelines.
- Assist applicants with service-related questions prior to counter interaction and communicate any process changes, delays, or wait-time updates calmly and professionally.
- Support customer experience initiatives and handle service recovery efforts for escalations or dissatisfied applicants.
- Maintain strict confidentiality of applicant information and adhere to all data protection policies.
- Perform basic administrative duties such as updating daily logs, preparing simple reports, managing courier packages, and verifying application completeness.
- Identify and report any suspicious behavior or inconsistencies in submitted documentation.
- Coordinate with front-office and back-office teams regarding pending documents and applicant follow-ups.
- Provide personalized recommendations for products or services that enhance the applicant’s travel experience.

Required Qualifications

- Minimum education: High school diploma; a bachelor’s degree is preferred.
- 1-2 years of customer service or front-office experience, ideally within travel, airport, visa, or service-center environments.
- Proficiency in English and the local language is essential; knowledge of additional languages is advantageous.
- Basic skills in Microsoft Office and CRM or similar system usage.

Preferred Qualifications and Additional Requirements

- Ability to read, write, and speak fluently in both the local language and English.
- Experience working in culturally diverse environments.
- Cross-selling experience is desirable.
- Familiarity with compliance procedures and the ability to work in a fast-paced, customer-facing environment.
- Willingness to work shifts according to the center’s operating hours.
- Knowledge of an additional international language is a plus.

Success in this role will be measured by adherence to queue waiting times, customer satisfaction levels, accuracy in routing and information provision, and compliance with SOPs and audit standards.
