Founding Medical Billing & Operations ManagerHealthcare Technology Startup
About us
We are building a healthcare technology company that combines medical billing expertise with AI and automation to help physician practices improve collections, reduce administrative work, and manage revenue more effectively.
We are looking for an experienced, hands-on Medical Billing & Operations Manager to help build the company alongside the founders. This person will establish our billing operations, recruit and develop our team, onboard practices, and help shape the technology we build.
The role
You will own day-to-day billing operations while creating the processes, team structure, and quality standards needed to grow. As an early team member, you will also work closely with our technology team to turn real billing challenges into practical product features.
Key responsibilities
- Build and manage end-to-end billing workflows, including eligibility verification, claims submission, payment posting, denial management, appeals, and accounts receivable follow-up.
- Recruit, train, and supervise medical billers and support staff; establish clear responsibilities and performance expectations.
- Create standard operating procedures, training materials, quality checks, and reporting dashboards.
- Lead new practice onboarding, assess existing billing processes, and coordinate access to EHRs, practice management systems, clearinghouses, and payer portals.
- Monitor collections, aging accounts receivable, denial rates, clean claim rates, and team productivity; identify problems and drive improvements.
- Serve as a primary contact for practice clients, communicating results and resolving billing issues.
- Help founders develop service offerings, staffing plans, and operating budgets.
- Partner with developers to define billing requirements, test features, and identify opportunities for AI and automation.
- Establish human review and escalation procedures for automated workflows.
- Maintain patient confidentiality and support HIPAA-compliant operations.
Qualifications
- At least five years of U.S. medical billing or revenue cycle experience, including two years managing a team.
- Strong knowledge of physician billing, insurance reimbursement, denials, appeals, and accounts receivable recovery.
- Experience working with Medicare, Medicaid, and commercial payers.
- Working knowledge of CPT, ICD-10-CM, HCPCS, and payer-specific billing requirements.
- Experience using EHRs, practice management systems, clearinghouses, and payer portals.
- Demonstrated ability to hire, train, and manage a billing team.
- Strong communication, analytical, and organizational skills.
- Comfortable working in an early-stage company, taking ownership, and building processes from the ground up.
Preferred experience
- Internal medicine or primary care billing.
- CCM, RPM, or PCM billing and documentation workflows.
- Launching a billing operation or managing multiple practice clients.
- Working with offshore billing teams.
- Billing automation, reporting tools, or healthcare software implementation.
- Relevant billing, coding, or revenue cycle certification.
What success looks like
Within the first 90 days, you will establish core billing procedures and reporting, develop an initial hiring and training plan, support practice onboarding, and help prioritize technology features based on operational needs.
Why join us
This is an opportunity to help build a company from its early stages, shape its team and culture, and influence healthcare technology grounded in real practice needs.
