DentistFind is seeking a highly organized, analytical, and proactive Sales Operations Coordinator to build a dependable and scalable sales operating system. This senior, hands-on role requires bringing structure to a fast-paced, founder-led sales environment by maintaining CRM accuracy, driving team follow-through, and turning scattered information into clear priorities and ownership. The ideal candidate will strengthen the sales process, improve pipeline visibility, and reduce the CEO’s need to piece together status updates from multiple sources.
Key Responsibilities
- Daily Sales Operations Oversight: Monitor warm leads, active opportunities, appointments, overdue tasks, and next steps to maintain an accurate sales overview; identify and route stalled or conflicting items to the correct owners.
- CRM Accuracy & Pipeline Hygiene: Keep CRM records updated with deal stages, ownership, tasks, dates, notes, and source links; flag inconsistencies without making assumptions.
- Meeting Follow-Through & Action Tracking: Translate sales meetings and internal discussions into structured action items with owners, deadlines, and follow-up checks; persistently ensure commitments are met and blockers addressed.
- Weekly Reporting & Decision Support: Prepare concise pipeline and activity reports highlighting appointments, follow-ups, proposals, objections, bottlenecks, and performance against benchmarks; explain data gaps and items needing management attention.
- Cross-Functional Handoffs: Coordinate inputs and transitions between Sales, Marketing, Client Success, and other teams; confirm acceptance of handoffs by receiving parties.
- Sales Process Implementation: Assist in establishing and refining CRM, deal, task, and follow-through procedures; promote adoption through examples, usage checks, and ongoing improvements.
- Sales Quality Improvement Support: Organize coaching evidence, objection trends, and call-review insights to support leadership in sales performance decisions.
- Documentation & Knowledge Preservation: Document workflows, reporting definitions, and process exceptions to reduce reliance on verbal memory and enable backup coverage.
- Escalation & Risk Visibility: Identify and escalate issues beyond the role’s authority with factual context and recommended actions.
- AI-Enabled Administrative Support: Utilize AI tools like ChatGPT to summarize notes, organize information, and draft documentation while independently verifying accuracy.
- Other Duties: Execute ad hoc tasks and special projects as assigned.
Required Qualifications
- Bachelor’s degree in Business Administration, Sales, Marketing, Operations, Communications, or related field.
- 3–5 years of experience in sales operations, coordination, or similar operational support roles with demonstrated ownership of workflows or pipeline processes.
- Proven CRM management skills, including deal stages, task tracking, ownership, and pipeline hygiene.
- Strong understanding of B2B sales processes, including lead management, qualification, appointments, proposals, and handoffs.
- Excellent written communication skills for producing clear, concise reports and updates.
- Critical thinking with the ability to distinguish facts from assumptions, identify gaps, and escalate risks appropriately.
- Highly organized, self-directed, and dependable with strong follow-through and multitasking abilities.
- Skilled in building and refining practical workflows, SOPs, and task management systems.
- Proficient with Google Workspace or similar tools, CRM platforms, project management software, and AI tools for documentation and workflow support.
- Experience working cross-functionally and independently obtaining inputs from stakeholders.
- Demonstrated integrity, discretion, and professionalism handling sensitive information.
- Comfortable working remotely with required Eastern Time overlap and using time-tracking tools.
