The Aga Khan University’s Department of Psychiatry in Karachi is seeking a Senior Assistant to provide comprehensive administrative and secretarial support to faculty and departmental operations. Established in 1983 as Pakistan’s first private university and a not-for-profit institution under the Aga Khan Development Network, AKU has grown into an internationally recognized center for education, research, and clinical services. The Department of Psychiatry offers a broad range of psychiatric treatments and subspecialties, and the Senior Assistant will be instrumental in ensuring efficient coordination of academic and administrative activities within a collaborative and inclusive environment.

Key Responsibilities
Organizing and scheduling faculty meetings efficiently is a primary duty. The Senior Assistant will provide secretarial and administrative support to the Chair, including managing phone calls and calendar appointments. Coordination of the Undergraduate Medical Education (UGME) program will be done in collaboration with the Program Coordinator. Arranging transportation for official faculty and staff visits and supporting logistical and administrative tasks related to departmental projects are essential functions. The role involves preparing and typing letters, memos, meeting minutes, and transcribing medical summary forms. Assisting faculty in organizing academic events such as courses, symposiums, workshops, and webinars is also required.

Maintaining office equipment such as computers and telephones, and coordinating repairs or complaints with relevant departments, falls under this role. The Senior Assistant will manage filing systems for documents, correspondence, reports, and other materials, and liaise with departments like IT, HR, and Finance to resolve daily operational issues. Ensuring timely renewal of faculty documents, including PMDC registration and credentialing, is critical. The incumbent will also enroll faculty and staff in required training programs such as ACLS, BLS, and PALS before expiry.

Additional responsibilities include preparing presentations and posters for faculty research activities, maintaining calendars, scheduling appointments and meetings, handling logistics such as venue booking and meal requests, and coordinating the disposal of office equipment when necessary. Maintaining Continuing Medical Education (CME) records for faculty members is also part of the role. The Senior Assistant will perform any other tasks assigned by faculty or supervisors to support departmental functions.

Required Qualifications
Candidates must possess a minimum of a Bachelor’s degree, with a Master’s degree preferred. At least two years of relevant administrative experience is required. Strong communication and interpersonal skills are essential, along with proficiency in MS Office applications. The ability to organize and manage diverse tasks effectively is critical.
