Senior Dispatcher

Vintage/Mirana, a dynamic and expanding online retail store based in Lahore, Pakistan, is seeking a Senior Dispatch Manager to oversee the entire order dispatch process. This role is crucial in ensuring that every customer order is accurately packed, dispatched on time, and delivered efficiently across Pakistan. The Senior Dispatch Manager will manage coordination between the warehouse, courier partners, and internal teams to maintain smooth operations from order confirmation to final delivery, including handling returns and cash-on-delivery (COD) payments. Reporting directly to the Operations Manager, this position demands strong organizational skills and a proactive approach to managing logistics in a fast-paced ecommerce environment.

Key Responsibilities
- Manage daily dispatch operations to ensure all confirmed orders leave the warehouse either the same day or the next day.
- Supervise picking, packing, and labeling processes to minimize errors and damaged shipments.
- Coordinate with multiple courier partners such as TCS, Leopards, PostEx, M&P, Trax, and Call Courier.
- Select appropriate courier services based on city coverage, cost efficiency, and delivery performance.
- Collaborate closely with the production team to align order timelines and ensure timely dispatch of made-to-order and new items.
- Monitor shipments actively, following up on delayed, stuck, or lost parcels to maintain delivery standards.
- Work to reduce failed deliveries and return-to-origin (RTO) rates, particularly for COD orders.
- Reconcile COD payments with courier companies, identifying and reporting any discrepancies.
- Manage returns and exchanges by receiving, inspecting, and restocking returned items promptly.
- Coordinate with inventory management to maintain accurate stock levels and prevent dispatching out-of-stock orders.
- Prepare and present daily and weekly reports covering dispatched orders, delivery success rates, RTO percentages, and courier performance metrics.
- Plan and organize dispatch operations in advance for sales events and peak seasons to handle increased order volumes efficiently.

Required Qualifications
- Minimum of 4 years’ experience in ecommerce dispatch, fulfillment, or logistics management.
- Strong knowledge of Pakistani courier companies and familiarity with their online portals.
- Proven experience managing COD orders and reconciling courier payments.
- Working knowledge of Shopify or similar ecommerce platforms.
- Proficiency in Excel or Google Sheets for data tracking and reporting.
- Ability to stay organized and maintain composure under pressure, especially during high-volume periods.
- Excellent communication skills to coordinate effectively with internal teams and external partners.

Preferred Qualifications and Benefits

- Bachelor’s degree in business, supply chain management, or a related field.

Working Hours
This is a full-time, on-site position with working hours from Monday to Saturday, 10:00 AM to 7:00 PM.
