We are looking for a highly skilled Immigration Production Coordinator to join a rapidly growing US-based immigration law firm. This role requires deep, hands-on expertise in US immigration processes, USCIS filings, and case lifecycle management, combined with strong operational and production coordination abilities. The ideal candidate must be able to differentiate between various immigration forms and thrive in a fast-paced, high-accountability environment. This position is critical to ensuring smooth case workflows and timely submissions, supporting attorneys, paralegals, and firm leadership.
Key Responsibilities
- Manage daily case workflows and production administration for attorneys and paralegals, ensuring all tasks progress without delay.
- Develop, maintain, and enforce standard operating procedures (SOPs) for case intake, filing, and follow-up processes.
- Oversee hearing trackers, case calendars, attorney scheduling, and file handoffs to maintain seamless case management.
- Monitor case submission pipelines, USCIS mailing lists, and promptly flag Requests for Evidence (RFEs) and other notices.
- Maintain and audit case records within SharePoint and immigration case management software such as Docketwise.
- Lead daily team huddles to keep the production team aligned, accountable, and on track.
- Own the entire case journey from client intake handoff through final USCIS submission, ensuring no delays, missing documents, or dropped cases.
- Support the CEO by managing calendar, inbox, and confidential scheduling, while preparing weekly KPI dashboards and production reports.
- Facilitate cross-team meetings, strategic initiatives, and CEO-directed projects.
- Track firm compliance requirements, including attorney licenses, vendor renewals, and court registrations.
- Coordinate contract attorneys and generate monthly efficiency and output reports.
- Manage attorney case reviews for compensation, client payment tracking, installment schedules, and outstanding balance follow-ups.
- Liaise with bookkeeping for payroll and vendor payments.
- Serve as a bridge between Client Intake and Production teams to ensure flawless new matter setup and monitor all client communications daily.
- Track client satisfaction surveys and escalate quality concerns immediately.
- Oversee CRM and immigration case management tools, ensuring full team adoption and compliance with data security protocols.
- Coordinate IT issue resolution and enforce firm-wide data security standards.
Required Qualifications
- Minimum of 2 years direct experience working at a US immigration law firm.
- Proven hands-on knowledge of USCIS filings, immigration case types, and EOIR immigration court procedures.
- Bachelor’s degree in Business, Management, Law, or a related field.
- 1 to 3 years experience in Project Coordination, Operations Management, or Executive Support roles.
- Excellent written and spoken English at a professional, client-facing level.
- Exceptional organizational skills with extreme attention to detail and strong follow-through.
- Ability to manage multiple high-priority cases and deadlines simultaneously.
- In-depth understanding of USCIS forms including I-130, I-485, I-765, I-131, I-140, I-539, and N-400.
- Familiarity with adjustment of status versus consular processing pathways, RFE workflows, EOIR court procedures, visa categories, and USCIS notices and timelines.
- Experience with immigration case management software such as Docketwise is strongly preferred.
Preferred Qualifications and Benefits
