· Provide inclusive support for general administration and ensuring that the necessary administrative policies, systems, procedures are in place and are adhered to in order to promote high management quality standards.
· Supervise 29 administrative staff (AM Admin, Transport Officer, Gardeners, Drivers, Attendants)
· Manage and plan annual administration budget of more than 80 million rupees.
· Oversee the procurement of office supplies, equipment and furniture fixtures.
· Oversee the vehicle / motorcycle fleet, its proper functioning and fuel consumption.
· Oversee hired transport and pick & drop of employees
· Oversee hostels / colony matters
· Oversee all matters related to horticulture and gardening
· Ensure the logistics and other arrangements of internal, external meetings / functions / events.
· Oversee Workers’ canteen and Managers’ mess affairs
· Oversee housekeeping, cleaning and janitorial services at all Factory and Hostel areas.
· Cost reduction in canteen and plant cleaning / janitorial contracts.
· Handle accident cases at Plant and ensure all necessary arrangements, as per law and companies policy.
· Oversee employee’s welfare / benefits cases under different Govt. schemes as per Labour laws i.e. Marriage Grant, Scholarship, Allotment of Quarters, Hajj Draw, Death Grant cases.
· Maintain good relations with local community and Govt. Departments (Labour, ESSI, EOBI, District Administration, Local Police)
· Conduct inquiries as and when required on the instruction of Management strictly as per labour laws
· Oversee all administrative arrangements for holding meetings, conferences, seminars, religious affairs and other events as and when required.
· Oversee all legal, court cases as well as land matters in consultation with Legal Advisor and Land Revenue Consultant.
· Oversee and cross check all kind of reports & feedbacks before submission to the Management.
· Oversee sports activities (Cricket, Badminton, Snooker, Carom, Table Tennis and Gym).
· Oversee all matters related to CSR activities (distribution of Zakat, Ramzan packages, scholarships, public welfare dispensary, Bestway Foundation School).
· Assist HOD in finalizing annual appraisal of the administration staff.
· Arrange meetings; ensure availability of all meeting accessories and presence of the participants.
· Noting & circulation of minutes of meeting
· Arrange interview of Trainee Engineers, Technicians, Apprentices and other staff with General Manager for training, appointment and coordinate with Personnel Department at Head-office/ Administration Department at Site.
· Assist GM (Works) in preparation of Annual Performance Appraisals of employees and HODs.
· Drafting various type of business correspondence.
· Oversee timely submission of daily, weekly, fortnightly and monthly reports by all Departments.
· Handle all incoming and outgoing mails in GM / Director’s offices.
· Oversee preparation of concerned Departments before Internal Audit
· Receive official guests and visitors, furnish necessary information and arrange meeting with concerned, if required.
· Arrange traveling, boarding / lodging for GM Works and official guests
· Ensure that all office equipment are properly maintained and avoid misuse
· Coordination with Head Office and all other Works / Sites regarding various matters on behalf of GM
· Maintain and update the Filing System in accordance with ISO 9001:2008
· Supervise GM’ Cell staff, CCR Kitchen staff and Cleaning staff.
