JOB DESCRIPTION AS ASSISTANT MANAGER PROCUREMENT:
• Responsible for a healthy and transparent procurement process.
• Responsible for having correspondence with foreign suppliers for the purchase of commodities, import related queries and documentation, request for proposal, negotiation and purchase order issuance.
• Member of a demand planning committee.
• Super user of ERP (AX Dynamics).
• Responsible for getting done required procurement process for both operational and program-related equipment and supplies.
• Responsible for getting purchase requisition from the different departments and regions in AX Dynamics.
• Responsible for ensuring the purchase department obtained at least 3 quotations from different vendors.
• Responsible for the preparation and process purchase orders and documents in accordance with company policies and procedures.
• Negotiate for best purchasing package (in terms of quality, price, term, delivery and service) with suppliers and sub-contractors assigned.
• Responsible for ensuring suppliers deliver procured items in a timely manner and properly recorded in inventory before dispatching to field districts; verify that deliveries have been made correctly and on time.
• Process and ensure claims to vendors for defectives, shortage, missing parts/items/goods
• Provides advice and guidance to staff on procurement matters, and coaching on relevant processes e.g. Requests for
Quotation (RFQ), Request for Proposal, Bid Evaluation Criteria and other competitive procurement tools to ensure
program needs are met, and to ensure procurement processes are perceived by suppliers as fair, open and ethical.
• Supervise market surveys to access market price.
• Ensure PR Tracking, Approved Vendor List, and Procurement databases etc.
• Ensure due diligence of vendors/suppliers/contractors (Sentinel check) is performed.
• Supervision of Stock count.
JOB DESCRIPTION AS CONTRACTS EXECUTIVE:
• Plans and directs all aspects of an organization\'s contract administration function.
• Works closely with organization\'s legal department to develop proposals, oversee preparation, and monitor progress.
• Assist the user department in developing of scope of work.
• Responsible for preparing both long term and short term agreements for Administration and Human Resource Department.
• Responsible for managing Health Services Agreements.
• Responsible for preparation of Consultancy Agreement.
• Responsible for monitoring USAID Mandatory Provisions at legal level.
